Job Summary:

We are seeking an enthusiastic and organized Contracts/Proposal Assistant to join our innovative team. As an integral part of our business development and proposal writing efforts, you will contribute to crafting compelling proposals, grants, and bid responses that effectively showcase our corporate strengths to potential clients. Your dedication will ensure accuracy, compliance, and competitiveness in our responses, achieved through close collaboration with our executive, human resources, finance, and business development teams. Your ability to analyze, interpret, and optimize proposals and solicitations will be instrumental in driving our market presence and building strong subcontractor and prime contractor relationships. This role is also responsible for performing administrative tasks such as preparing invoices, building estimates, and scheduling meetings as needed to support the performance of each individual contract. Your insights gleaned from previous industry experience and your adeptness at business intelligence will contribute to our overall strategic growth.

Schedule: Monday-Friday (8 AM-4:30 PM)


Responsibilities: Included by not limited to

  • Comprehend proposals and solicitations, and present potential proposal information to the team via PowerPoint.
  • Collaborating with other departments before, during, and after the proposal response process, which is initiated by the "Go-No-Go" decision.
  • Research current, future, and historical solicitation and/or requests (SS, RFI, RFQ, etc.)
  • Utilize Government Contracting Opportunity Search Engines such as Sam.Gov and GovTribe daily.
  • Produce and organize proposal packages and send to COO for submission such as Technical, Past Performance, Contractual Documents, Pricing Packages
  • Use current templates and/or create new templates for draft proposal response packages
  • Understand and use contract language within the proposal packages
  • Meet proposal deadlines for submission of packages
  • Ability to work on multiple proposal packages at once
  • Possess advance writing skills for the execution of proposals
  • Astute at reading and deciphering fine details of contracts
  • Assistant the COO with contract management duties
  • Ascertain and present historical information for previous contracts or re-complete contracts using GovTribe to present to the Executive Leadership Team
  • Notify COO of any and all potential areas of concerns with contracts and/or proposal pursuits
  • Ensure compliance with all Government Contracting Regulations including, but not limited to: SCA, FAR, SBA, etc.
  • Serve as a liaison between the Project Manager, Customer POC's, Government POC's, Partnership POC's, and other Department Executives/Leads.
  • Assist COO by providing potential solutions for challenging potential contracts.

Requirements & Experience:

  • Associate degree in business or a related field (preferred)
  • Microsoft 365 Suite Expert (required)
  • Knowledge of proposal management life cycle
  • Ability to work close-knit amongst coworkers.
  • Highly organized and able to multitask and oversee multiple tasks/proposals.
  • Strong attention to detail and problem-solving skills.
  • Excellent communication skills, both verbal and written
  • Contain the understanding of contract language.
