The Controller is responsible for the management and direction of the Accounting Division of the Finance Department and for ensuring the integrity of the general ledger and compliance with generally accepted accounting principles. They work with all departments in the museum to develop recurring and special reports using a variety of software, and are responsible for the preparation of all general ledger information of the museum. They serve as an advisor on issues concerning the financial management of the organization and develop and administer accounting policy and procedures.


Essential Duties and Responsibilities:

  • Finance Leadership:
    • Manages and monitors all accounts, ledgers, and reporting systems while ensuring compliance with (1) appropriate GAAP standards and regulatory requirements, (2) federal, state, and local requirements, (3) and private grants and contributions, loans, and contracts;
    • Remains knowledgeable of existing, new, and future legislation, and their impacts on OMSI's financial health;
    • Implements and enforces consistent accounting policies, practices, procedures, and internal controls;
    • Manages organizational cash flow, including monitoring daily treasury and investment activity, cash forecasting, and accounting for cash transactions between accounts and related restricted and unrestricted funds;
    • Manages accounting month-end close, including preparing and/or reviewing balance sheet reconciliations, preparing and/or reviewing journal entries, validating month-end data sync to budgeting software, and reviewing monthly internal financial statements for accuracy;
    • Responsible for configuration and administration of financial accounting software;
    • Serves as the primary contact with external auditing firm to coordinate annual financial audit, annual retirement plan audit, and preparation and filing of annual tax returns and state filings (which includes preparation of audit schedules and implementation of auditor recommendations);
    • Oversees accounts payable, accounts receivable, grant accounting, bank reconciliations;
    • Oversees payroll to ensure accuracy and that process complies with all applicable regulations;
    • Works closely with the VP of Finance & Technology to support the annual budgeting process and the development of long-range cash management and investment strategies;
    • Consults with and reports to the VP of Finance & Technology on all major decisions regarding any of the above.
  • Leads and supervises OMSI's Finance staff. Tasks include-but are not limited to-the following:
    • Monitors, coordinates, and directs the quality and accuracy of work performed by accounting staff;
    • Responsible for the recruitment, training, mentorship, and managing of accounting team to build a supportive and collaborative environment;
    • Prepares and facilitates the development of individual and team-based work plans;
    • Provides regular 1-on-1s and check-ins.

Working Conditions:

  • This position is exempt, paid salaried;
  • This position is regular full-time scheduled for 40 hours/week;
    • Requires working onsite at the museum location;
    • Requires working on some weekends, holidays, and/or evenings.
  • Physical Demands: 85% sitting, 15% standing, 0% lifting/carrying 20 lbs.;
  • Vision Demands include:
    • Close vision (clear vision at 20 inches of less)
  • Environmental Demands include:
    • Ability to occasionally work in a confined space (vault room).
  • Noise Levels include:
    • Quiet (examples: library, private office)
    • Moderate (examples: business office with computers and printers, light traffic)

Secondary Responsibilities

Secondary responsibilities include-but are not limited to-the following:

  • Coordinates all department cross-training;
  • Provides backup coverage for the finance team as necessary.

  • Accounting and Financial Expertise:
    • Comprehensive and advanced knowledge of accounting principles;
    • Ability to effectively analyze, troubleshoot, and mitigate accounting variances and ensure compliance with financial reporting and other compliance procedures, in accordance with OMSI standards and Generally Accepted Accounting Principles (GAAP);
    • Understanding of unrelated business income tax and property tax accounting requirements;
    • Excellent time management skills, with an emphasis on accounting processes and schedules;
    • Advanced knowledge of SageIntacct, and/or other financial software;
    • Advanced proficiency with Microsoft Office Excel and Google Sheets.

PREFERENCES:

  • Public accounting experience;
  • Familiarity with nonprofit accounting practices;
  • Excellent oral and written communication skills in a non-English priority language in Oregon.
  • Experience in Salesforce, or other CRM software.

Education & Work Experiences:

REQUIREMENTS:

  • Academic degree in an industry related to accounting;
  • 8 years of cumulative accounting experience with increasing responsibility that includes:
    • Demonstrated experience leading and managing advanced accounting functions and operations, such as compliance and controls, cash management, audit supervision, and financial reporting;
    • Experience successfully leading and managing a team of accounting professionals;
    • Excellent planning and organization experience, with an emphasis on managing finance systems and policies;
    • Demonstrated experience effectively communicating finance-related policies and procedures with a diverse range of departments and stakeholders.
  • Demonstrated experience or ability to work effectively with people of diverse backgrounds and talents in professional work environments.

PREFERENCES:

  • 5 years of non-profit accounting experience;
  • Nonprofit and/or museum leadership and management experience;
  • Experience working with and/or managing volunteers.
