WHO WE ARE:

Stanton Norfolk Inc. is a division of Asian Americans for Equality, Inc. (AAFE) that manages the day-to-day operations of over 800 units of affordable housing across nearly 50 multifamily properties serving over 1,100 individuals and families in Manhattan and Queens neighborhoods, including Chinatown/Lower East Side, Flushing, and the Far Rockaways.  Currently, Stanton Norfolk’s portfolio is comprised of full tax credit / affordable properties, as well as commercial spaces as part of mixed-use buildings.  We pride ourselves in providing a full breadth of management services to provide quality, safe, and affordable housing; maintenance; financial reporting; and resident relations.

From neighborhood offices in Chinatown and the Lower East Side (Manhattan) and Flushing and Jackson Heights (Queens) we provide an array of multilingual counseling and educational programs in support of low-income tenants, seniors and immigrant youth. AAFE strives for a more equitable city, through research, advocacy and grassroots community organizing.

JOB SUMMARY:
The Administrative / Procurement clerk is the staff member responsible for general administrative tasks and maintaining good property management inventory books and records of material purchased, account payable for goods and purchases and account receivable of inter-company charge back between the managed properties under the supervision of Facility Manager.

RESPONSIBILITIES:
 
  • Maintain good relations with tenants and visitors by offering helpful and courteous phone and in-person reception services.
  • Maintain good relationships and communication with colleagues and managers.
  • Assist with maintenance, repair scheduling and coordination.
  • Receive, sort, and distribute the mails.
  • Carry out administrative duties, follow company document retention policy, keep good records of all incoming management documents by timely distributing, filing, copying, scanning of management and maintenance records.
  • Coordinate and setting up and turn off utility services accounts for vacant units.
  • Procurement
    • Timely replenish office supply, building maintenance supply and office / building equipment
    • Timely documenting all Purchase Order into the Yardi system, tracking good received and allocating maintenance and janitorial inventory for intercompany chargeback.
    • Tracking office inventory and tenant key inventory.
    • Timely prepare payment requests and submit invoices to the accounting department.
    • Generate monthly inventory and expenses reports.

•           Perform such other tasks as may be required from time to time

QUALIFICATIONS:
  • 1 yr experience as an Office Clerk/Administrative Assistant is required
  • Must possess a background utilizing basic principles in Mathematics
  • Must be Bilingual in English / Spanish or English / Chinese
  • Ability to multitask, to work on several tasks at once while paying attention to details.
  • Ability to interact and build meaningful relationships with suppliers, maintenance staff and managers.
  • Proficient in MS Office, including PowerPoint, Word, Excel,  
  • High school diploma or equivalent; additional qualification as an Administrative Assistant or Secretary will be a plus.
  • Familiarity with YARDI preferred.
