WHAT, EXACTLY, DOES AN ESCROW ASSISTANT (ORDER ENTRY) DO?
Well, if you've ever purchased a home from someone - whether or not you know it, you've had someone working on your behalf who did this job.

It's probably not going to come as a shock, but this Escrow Assistant is someone who is focused in on data entry responsibilities. There's a lot that goes into making a home-buying transaction successful and it all starts with our order entry person. Once we receive a request to handle a transaction, the order entry person keys all of the necessary data into our title/escrow tracking system, Qualia, quickly and correctly. Certain orders (based on the lender or real estate agent/agency) are assigned to specific escrow teams who know how that specific customer prefers the escrow process to be handled. Depending on the type of transaction, different information is often required. So picking the correct template for the order that you're working on is critical.

WHAT DOES IT TAKE TO BE SUCCESSFUL IN THIS ROLE?
You have to be fast and you have to be accurate - so previous experience in data entry roles would certainly be beneficial. You have to have well developed critical thinking skills. The best Escrow Assistants on our Order Entry team aren't just keying in information into our system... they're analyzing the order and trying to make sure that all of the information that we're going to need downstream from order entry is in the system all with the end goal in mind of ensuring the smoothest possible transaction for our customers.

You have to have excellent communication skills; whether that's communicating with the buyers, sellers, real estate agents or lender... or communicating with other members of the Bluegrass Land Title team.

It certainly helps if you have previous experience in the title/escrow industry... but we find that individuals who have worked in loan processing or as loan officers typically have enough knowledge of "what it is that we do" to really hit the ground running. Do you have to have that kind of experience? No. But it certainly doesn't hurt.

RESPONSIBILITIES:

  • Opens title orders in Qualia by selecting the appropriate template for the order.
  • Selects the appropriate workflow for the order.
  • Verifies the proper settlement agency is listed.
  • Assigns each order to the proper market / closing office.
  • Assigns the proper escrow team based on the lender or real estate agent/agency.
  • Ensures that any necessary fields have been populated per our standard procedures.
  • Returns all calls, voicemails, and emails in a timely manner.
  • Adheres to company policies and guidelines.
  • Performs other duties as may be on occasion requested or assigned.

QUALIFICATIONS:

  • Preference will be given to candidates with previous data entry experience
  • Experience with Qualia is a plus
  • Superior attention to detail

  • Excellent interpersonal skills
  • Outstanding organizational skills and ability to multi-task
  • Time sensitivity and ability to move tasks forward in a fast paced environment
