Position Overview:
The Fleet and Facilities Specialist oversees and assists with the company's vehicle fleet management and facilities maintenance. This role is responsible for ensuring successful fleet assignment, usage and administration, maintaining accurate vehicle records, handling vehicle wraps, managing registrations, and overseeing maintenance activities. This role also involves coordinating with various departments and external vendors to ensure smooth operations.

This is an in-office role located at our Jacksonville, FL headquarters.

Responsibilities
  • Administer fleet policies and procedures, ensuring all drivers and fleet users adhere to company standards and regulations.
  • Conduct regular fleet audits to ensure compliance with safety standards, vehicle condition, and proper usage.
  • Manage fuel consumption and efficiency, analyzing fuel usage data to identify potential cost-saving opportunities and reduce environmental impact
  • Coordinate emergency response plans for fleet-related incidents, ensuring swift and effective action to minimize downtime and maintain safety.
  • Develop and maintain a preventive maintenance program for facilities, scheduling routine inspections and servicing to prevent breakdowns and extend the lifespan of equipment and infrastructure.
  • Ensure timely pickups and delivery of all vehicles as per schedule, coordinating with drivers and maintaining communication to handle any delays or issues that arise.
  • Maintain accurate and accessible vehicle records by scanning invoices, lease agreements, registrations, and plates, organizing them systematically for easy retrieval and ensuring compliance with record-keeping standards.
  • Coordinate vehicle wraps and modifications with vendors, process necessary purchase orders, and ensure that all customizations meet company specifications and branding guidelines.
  • Oversee vehicle registrations, specialty tags, and SunPass accounts, ensuring compliance with state regulations and timely updates to avoid penalties and ensure smooth operations.
  • Monitor and schedule regular vehicle maintenance, including oil changes and repairs, keeping detailed logs of service history and proactively addressing any mechanical issues to prevent breakdowns.
  • Manage the fleet driver list, assign new vehicles, and ensure that all drivers are properly trained and aware of company policies regarding vehicle use.
  • Conduct vehicle activity checks, provide detailed reports to supervisors, and use insights from these checks to recommend improvements or address any discrepancies.
  • Conduct regular safety inspections and risk assessments for all facilities, implementing corrective actions to mitigate hazards and ensure a safe working environment.
  • Order and manage equipment for remote employees, including but not limited to laptops, headsets, docking stations, monitors, and keyboards/mice, ensuring team members have the necessary tools to perform their duties effectively.
  • Send faulty equipment back to the vendor for repairs or replacements and manage equipment inventory to keep track of all assets.
  • Handle facility maintenance and repairs across all offices, ensuring compliance with safety regulations, scheduling necessary services, and addressing any issues promptly to maintain a safe and functional work environment.
  • Oversee landscaping and ensure the upkeep, coordinating with landscaping services to maintain an aesthetically pleasing and well-maintained exterior.
  • Other duties as assigned.
Qualifications
  • Bachelor’s degree or equivalent combination of education and work experience.
  • Experience in fleet and facilities management, handling diverse responsibilities.
  • Strong organizational and multitasking skills, prioritizing tasks and managing time effectively.
  • Excellent written and verbal communication skills for collaboration with team members and stakeholders.
  • Proficiency with Geotab, Smartsheet, or similar tools for tracking data and generating reports.
  • Advanced proficiency in Office 365, including Word, Excel, PowerPoint, and Outlook, for efficient document creation, data analysis, and communication.
  • Ability to coordinate with multiple departments and vendors for smooth service and project operations.
  • Problem-solving skills and attention to detail for maintaining operational efficiency and compliance.
  • Knowledge of safety regulations and preventive maintenance practices.
