Job DescriptionJob Description

**We are currently seeking a motivated and detail-oriented "Temporary Procurement Clerk" this will be a 6–8-month assignment**

Monday - Friday

8am - 5pm

SUMMARY OF FUNCTIONS:

Purchase goods and services necessary for the manufacturing of Tortillas and Related Products, primarily materials needed for production and new product development, compile information and reports to maintain stock and inventory. Assist in negotiating with vendors to maintain competitive pricing. Present vendor proposals, obtain approval and prepare purchase orders. Expedite delivery of goods to proper departments within the manufacturing facility. Coordinate with department managers/supervisors materials needed for new products and R & D projects. Review production schedule to establish priorities and availability of goods. Monitor inventory movement and track inventory in a weekly basis. Assist QA Manager in the Certification and Approval of new suppliers for Compliance to Vendor Certification and Quality Standards.

DUTIES

  • Reviews production schedule to establish priorities and availability of parts and materials needed to meet production needs.
  • Regularly communicates, develops and maintains relationships with outside vendors.
  • Works with the Buyers in making sure the best prices of purchased goods are obtained while not sacrificing quality.
  • Monitor the purchasing, receiving, warehousing and inventory control processes for the department
  • Assures that purchasing and pricing history records are maintained in compliance with the company policy and procedures including having all required approvals obtained
  • Maintains the record management of each vendor contract
  • Responsible for monthly inventory system-actual reconciliation
  • Compiles information and coordinates activities involved in procuring goods and services such as raw materials, equipment, tools, parts and supplies.
  • Confers with vendors by telephone, fax, e-mail, or in person to obtain product and service information such as technical data sheets, vendor questionnaire, price, availability and delivery schedule.
  • Prepares purchase orders, reviews proposals and assist in negotiation of contracts within budgetary limitations and scope of authority.
  • Estimates values according to knowledge of market price.
  • Ensures vendor provides invoices for payment and forwards to Accounts Payable.
  • Expedites delivery of goods to end-users when necessary.
  • Maintains manual and computerized procurement records items and services purchased, cost, delivery information, product quality and performance and inventory levels.
  • General office practices and knowledge essential.
  • Excellent communication and customer service skills required.
  • Capable of performing in a fast paced environment.
  • Ability to meet agreed upon goals and objectives in a timely manner.
  • Assist Quality Assurance Manager with any tasks related to Quality compliance
  • Perform other special assignment from the management
  • Perform other duties as assigned.

SPECIFIC SKILLS & ABILITIES

  • Purchasing for a manufacturing facility and product knowledge preferred
  • Computer skills and phone etiquette required.
  • Netsuite experience preferred
  • Quick learner, Detail oriented Team player.
  • Ability to document processes
  • Ability to work with little supervision
  • Minimum of 2 years purchasing experience preferred with at least 1 of those years serving in a food industry
  • To have expertise in inventory control, warehouse/receiving.
  • Knowledge working with inventory control systems
  • Excellent written and oral communication skills in the English language. Bilingual a plus.
  • Proficient in MS Office Programs e.g. MS Word, Excel, Outlook, Internet research, etc. High School Diploma/GED equivalent required technical credentials a plus. Ability to multi-task.
  • Ability to meet agreed upon goals and objectives in a timely manner.
