Duties:

  • Develop a strong awareness of executive team’s relationships (internal and external) and handle confidential information with integrity, sensitivity, care, and discretion.
  • Manage Travel arrangements for leadership team. Enter pertinent details into calendar, keep up-to-date on changes and arrange alternatives.
  • Coordinate with corporate event coordinator as needed and associated calendaring.
  • Work with complex executive calendar coordinator.
  • Create, organize and maintain efficient workflow processes in terms of projects and assignments.
  • Transcribes meeting notes as needed/
  • Draft, edit, and proofread memos, correspondence, meeting materials, and presentations
  • Manage administrative projects
  • Oversee corporate office supply and paper goods product programs
  • Manage 1 full time administrative associate
  • Performs basic accounting duties including reconciling invoices, reviewing expenses, tracking payments, etc.
  • Plan and/or in conjunction with event coordinator meetings and logistics for, executive meetings, and committee meetings, including: preparing agendas, sourcing hotels, managing contracts, coordinating arrangements, communicating with attendees, arranging hotel and ground transportation, catering, tech equipment set up, expense reporting, editing and finalizing all meeting pre-read materials; sending out materials and pre-reads.
  • Run various errands, when requested.
  • Promote company values, culture and vision throughout the organization.
