Martha & Mary is seeking a full time Lead Receptionist for our Poulsbo location.

Wage: $19.50- $21.21/hr. based off years of applicable experience

Duties and Responsibilities

Job Specific

  • Answer and direct all calls coming into the facility's main switchboard
  • High traffic, highly visible area – ability to multi-task and maintain composure under stressful situations
  • Greet, assist and direct all visitors and residents within the facility
  • Complete payroll for the receptionist team
  • Manage scheduling of the receptionist team to ensure adequate coverage during open hours
  • Support, communicate with, & lead receptionist team in a positive manner
  • Process incoming/outgoing US Mail for pickup/delivery to the Poulsbo Post Office; distribute incoming resident mail and staff mail to unit mail folders and staff mail folders at reception area
  • Assemble admission packets
  • Maintain a clean and welcoming lobby area
  • Duties may also involve visitor screening and evaluation in certain health environments or situations such as during an infectious outbreak
  • Know the established proper procedures for fire drills and will notify security vendors and/or staff of any problems
  • Maintain the facility’s resident trust account cash box and tracking spreadsheet, requesting replenishment when needed
  • Manage and maintain the facility’s petty cash box and tracking spreadsheet, requesting replenishment when needed
  • Distribute employee payroll checks with discretion when necessary along with employee notices when appropriate
  • Assist in scheduling (i.e., visitor or management scheduling when directed) and/or reserving company vehicles and/or various common areas throughout the facility (i.e., Chapel, classroom, conference rooms, etc.).
  • Assist in the coordination of employee and resident special events throughout the facility
  • Perform copy jobs as requested and maintain resident admission packets and informational tour packets for facility
  • Perform as a resource center for facility and assist all departments and/or nursing units as requested in preparation of mailings, packets, forms and/or resident specific services
  • Assist in the delivery of packages, flowers, newspapers, etc. to residents and staff as needed from the front desk
  • Distribute as necessary employment applications, class application forms and provide general information on job opportunities and nursing assistant class
  • Receiver of payments for resident accounts, donations and other miscellaneous payments
  • Other clerical duties related that may or may not be related to mail distribution.
  • Assist with any other clerical duties as assigned.

Required Qualifications

Education: High school diploma or GED required

Experience: Previous experience in a supervisory receptionist role is preferred. Experience with computers, answering and transferring phone calls, using a copier, calculator, and laminator is required.
