JOB SUMMARY: Serve as an advocate for company clients and the community to assist clients with the information needed to access health insurance made available through the state Medicaid program or other applicable insurances. Responsible for assisting clients with insurance applications, handling or collecting related documentation, demographics and other relevant information, entering data and/or information collected into EHR, and providing excellent customer service.

DUTIES & RESPONSIBILITIES:

  • Determine client eligibility for Medicaid, Medicare, or other applicable insurance programs.
  • Provide information, application assistance, and enrollment assistance in a timely manner, to any clients seeking healthcare coverage.
  • Handle questions, issues and provide detailed information on requirements, processes, and policies.
  • Collect information regarding eligible clients for programs and services.
  • Ensure that applications are completed correctly and that the required supporting materials have been provided.
  • Entering, updating and reviewing data and records.
  • Providing guidance and recommendations to applicants and prospective candidates.
  • Corresponding with applicants and prospective candidates.
  • Processing enrollments and dis-enrollments.
  • Conducting information sessions.
  • Record all demographic information for clients into the EHR and/or web based application.
  • Secure necessary documentation to enroll clients in the applicable insurance program(s) (i.e. Authorization & Releases, Income Documentation, Tax Documentation, proof of insurance ineligibility, etc.)
  • Scanning and documenting client paperwork into the client’s folder on the company database.
  • Provide customer service to clients to assist with education and comprehension of the application process.

Working knowledge of office software applications:

  • Knowledge of Outlook, Adobe, Word, and Excel
  • Ability to navigate web-based programs for clients

HS Diploma or Equivalent


1-2 Years of Experience in a Medical Office Strongly Preferred


* Perform secretarial duties using specific knowledge of medical terminology and hospital, clinic, or laboratory procedures. Duties may include scheduling appointments, billing patients, and compiling and recording medical charts, reports, and correspondence.
* Answer telephones and direct calls to appropriate staff.
* Schedule and confirm patient diagnostic appointments, surgeries, or medical consultations.
* Complete insurance or other claim forms.
* Greet visitors, ascertain purpose of visit, and direct them to appropriate staff.
* Transmit correspondence or medical records by mail, e-mail, or fax.
* Maintain medical records, technical library, or correspondence files.
* Receive and route messages or documents, such as laboratory results, to appropriate staff.
* Interview patients to complete documents, case histories, or forms, such as intake or insurance forms.
* Operate office equipment, such as voice mail messaging systems, and use word processing, spreadsheet, or other software applications to prepare reports, invoices, financial statements, letters, case histories, or medical records.
* Perform bookkeeping duties, such as credits or collections, preparing and sending financial statements or bills, and keeping financial records.
* Perform various clerical or administrative functions, such as ordering and maintaining an inventory of supplies.
* Transcribe recorded messages or practitioners' diagnoses or recommendations into patients' medical records.
* Compile and record medical charts, reports, or correspondence, using typewriter or personal computer.
* Schedule tests or procedures for patients, such as lab work or x-rays, based on physician orders.
* Arrange hospital admissions for patients.
* Prepare correspondence or assist physicians or medical scientists with preparation of reports, speeches, articles, or conference proceedings.
