ACCOUNTING TECHNICIAN


DEPARTMENT: Parks

NATURE of WORK

The Accounting Technician analyzes vendor invoices for propriety and reasonableness; processes financial data to maintain business records, specifically accounts payable for payment, by performing a variety of accounting, clerical and bookkeeping tasks, using accepted procedures of the City of Gary.


PRINCIPLE FUNCTIONS:

· Ensures there are appropriations for the requisition.

· Enters requisitions into the accounting system.

· Prints purchase orders.

· Prepares claims for Department Head approval.

· Ensures claims have proper documentation.

· Resolves purchase order, contract, invoice, or payment discrepancies and documentation.

· Reconciles monthly vendor statements to invoices paid as needed.

· Maintains invoice tracking spreadsheet.

· Processes utility bill remittance spreadsheets.

· Processes freeze committee spreadsheet.

· Accomplishes accounting and organization mission by completing related results as needed provide required documentation, and maintains appropriate source documents and other related records in accordance with the Indiana Administrative Codes, Indiana policies and procedures as established by state agencies and City of Gary Municipal Code.

· Other duties as assigned.


KNOWLEDGE ABILITIES AND SKILLS REQUIRED:

· Possesses strong data entry, written and verbal communication skills.

· Have a working knowledge of Microsoft Word, Excel and Outlook.

· Maintains a professional demeanor in all interactions with clients, team and internal departments.

· Working on a personal computer, operating a calculator and other office equipment.

· Communicating effectively on the telephone.

· Prioritizing work and making routine decisions.

· Aptitude for basic accounting functions.


SUPERVISION RECEIVED:

Works under the direction of the Parks Director.

SUPERVISION EXERCISED:

None


WORKING CONDITIONS:

· Ability to lift up to 20 pounds

· Ability to bend and lift frequently

· Must be able to sit for a reasonable period of time


TRAINING AND EXPERIENCE REQUIRED:

· Associate’s degree in accounting or related field. One year of basic accounting or business office experience and/or training.

· Computer experience required with knowledge of accounting software systems.

· Must be proficient in Microsoft Office Applications with an emphasis on Word and Excel.

· Excellent organizational ability.

· Effective corporate communications skills

· Ability to consistently meet deadlines
