Summary of responsibilities

The candidate best suited for this role excels in a fast-paced environment while managing multiple projects with varying deadlines. This person needs to have exceptional attention to detail and will be responsible for processing new business, engaging with clients, facilitating client service requests, and maintaining operating efficiency with paperwork and software programs. The candidate needs to be professional, punctual, ethical, and friendly, have a high level of integrity, and maintain confidentiality. This is an in-office job.

Principal responsibilities

  • Assist with data entry of all client financial information, including construction of balance sheets as necessary.
  • Answer phone calls and handle all client service issues within capacity, licenses, and training.
  • Document all phone calls to and from clients in CRM.
  • Documents all customer service items related to clients in respective CRM via tasks and notes.
  • Keep customer information updated in CRM
  • Draft letters as directed by the advisor.
  • Prepare and send outgoing mail and client birthday cards.
  • Use excellent customer service skills to build client relationships.
  • Maintain advisor’s client appointments and scheduling
  • Help advisor prepare for client meetings.
  • Anticipate advisor needs and handle them proactively
  • Properly file meeting debrief notes, send them to the client, and enter tasks resulting from the notes in a timely manner.
  • Greet all clients for in-person meetings and offer beverages.
  • Learn all team systems and utilize and complete team checklists in a timely fashion (as provided and with training).
  • Works closely with other administrative staff and supports other colleagues as needed.
  • Follow team processes for tracking all business and handling paperwork.
  • Anticipate advisor needs and handle them proactively.
  • Track all pending business paperwork; when documents are outstanding, update pending business summary sheet for advisor’s attention; track and tally all outstanding work weekly.
  • Complete all forms correctly and submit them within one business day.
  • Maintain proper file management in accordance with compliance requirements and for ease of advisor use.
  • Use CRM system efficiently to schedule client reviews and meetings.
  • Use Commonwealth’s services, such as COMMunity Link®.

· Regularly review Commonwealth news items, technology updates, and e-mail communications.

  • Track and order supplies when necessary.
  • Maintain the neatness of the MA office lobby.

 

Required skills:

· Excellent client service, communication, and relationship management skills.

· Strong computer desktop skills, including Microsoft Office Suite (Excel, Outlook, Word, etc.) and CRM, are required.

· College experience is preferred but not required.
