Position Overview: We are seeking a highly organized and proactive Event Planner Intern to join our dynamic team. As a Event Planner Intern, you will be responsible for the successful planning, coordination, and execution of workshops. Your role will involve collaborating with various venues, including attorneys, potential clients, and internal teams, to ensure smooth operations and deliver exceptional workshop experiences. The ideal candidate should possess excellent communication and organizational skills, be detail-oriented, and have a passion for facilitating learning and development opportunities.

Responsibilities:

  1. Workshop Planning and Coordination:

    • Arrange and schedule workshop logistics, and equipment setup.
    • Coordinate with attorneys and team members to ensure they have the necessary resources and materials.
    • Communicate workshop details, schedules, and requirements to participants.

  2. Participant Management:

    • Oversee participant registration and enrollment processes, including managing registration systems, handling inquiries, and providing support.
    • Coordinate pre-workshop communications, such as sending welcome emails, pre-workshop materials, and reminders.
    • Collect and organize participant feedback, evaluations, and assessments to measure workshop effectiveness.
    • Maintain accurate participant records and databases, ensuring confidentiality and data protection.

  3. Workshop Facilitation Support:

    • Assist attorneys during workshops by managing logistics, troubleshooting technical issues, and addressing participant queries.
    • Ensure workshop materials, handouts, and equipment are readily available and in proper working order.
    • Coordinate post-workshop activities, such as scheduling appointments and answering questions.

  4. Continuous Improvement:

    • Gather and analyze workshop metrics, participant feedback, for workshop improvement.
    • Make recommendations for enhancing workshop content, delivery methods, and overall participant experience.
    • Contribute to the development and refinement of workshop policies, procedures, and best practices.

Requirements:

  • Are able to work the hours of 4pm-10pm Tuesday, Wednesday, Thursdays and occasional Saturdays, as required.
  • Proven experience in workshop coordination, event planning, or a similar role.
  • Strong organizational and project management skills, with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Excellent communication and interpersonal skills to collaborate effectively with diverse stakeholders.
  • Attention to detail and commitment to delivering high-quality experiences.
  • Proficiency in using workshop management software, registration systems, and Microsoft Office Suite.
