JOB DESCRIPTION

Summary/Objective 
The Purchasing Coordinator is responsible for negotiating with vendors as well as assisting the Purchasing Manager and the Director of Operations. The Purchasing coordinator will assist the Purchasing Manager with the purchase of products and services for our company. This position will serve as the liaison in negotiations between our company and suppliers. It is this position’s responsibility to assess vendors, negotiate new deals and renegotiate expiring contracts, and place orders for products and services. This position is responsible for assisting the sales department and project coordinators with product recommendations, procurement of accurate artwork, and the procurement of quotes while being monitored by the Director of Operations. Upon customer approval and permit acquisition by the project coordinator, the purchasing coordinator will be responsible for tracking of products required for the project. 

 

Essential Functions

 

Purchasing Coordinator duties:

 

  • Tracking of products required for a project.

  • Assisting the sales and project coordinators with product recommendations.

  • Supporting the coordination of supplies.

  • Researching information as required.

  • Keeping track of and generating inventory reports

  • Completing any tasks assigned by the Director of Operations in an efficient and timely manner.

  • Performs Data Entry related to miscellaneous projects.

  • Keeping the database updated with current COIs and vendor information.

  • Collaborates with Co-Workers, Vendors, and Customers related to project needs as assigned by the Project Coordinator.

  • Assists with other miscellaneous related duties as assigned and needed.

  • Generating miscellaneous inventory reports or other reports requested by the COO.

 

Competencies/Skill Set requirements:

 

  • Two years previous experience in an Purchasing role preferred

  • Highly organized and able to multitask

  • Strong attention to detail and problem solving skills

  • Excellent communication skills both written and verbal

  • Able to work independently and as apart of a team

 

Supervisory Responsibility

This position has no supervisory responsibility.

 

Work Environment
This job generally operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers.

Position Type/Expected Hours of Work
This position is Full-time and regularly requires 40 hours a week (In-Office)

Workday is typically 8:00am to 5:00pm M-F

Employees are expected to use their personal cell phones to take calls and emails after hours as needed.

 

Travel
There may be occasional travel with this position.

 

Training

Staff-assisted training provided

 

Required Education and Experience

  • Bachelor’s degree preferred

  • Three-Years experience in a Purchasing role 

  • Microsoft Word and Excel 

  • Computer and Internet literate (required)
