We are looking for an Order Processor/Documentation Specialist to join our team. The Order Processor/Documentation Specialist will work closely with the production manager, broker and logistics to coordinate the production and shipment of goods.

Position Responsibilities:

- Prepare & Maintain Reports

  • Shipment Schedule
  • Crop Inventory
  • USDA Almond Incoming

- Process sales contracts

  • Enter contract details onto shipment schedule
  • Ensure orders are shipped within contracted time frame
  • Coordinate with production staff to address and fulfill additional packaging marking requirements
    • Strictly adhere to labeling instructions required by destination country.

- Process lab samples

  • Ensure all samples are received for the corresponding order
  • Ensure samples are labeled accurately
  • Ensure sufficient product is pulled for corresponding analysis
  • Complete laboratory analysis request form accurately with the correct analysis

- Prepare shipping documentation

  • Schedule and complete Phytosanitary certificate accurately in accordance with destination country
  • Schedule and coordinate pickup and delivery of empty/full container to/from Port of Oakland
  • Process documents in accordance with buyer’s standards
  • Submit final shipment details (weight, container and seal number) to freight forwarder for Ocean Bill of Lading.
    • Review and forward to buyer for final approval within allotted time frame
  • Process documentation amendment requests

- Prepare invoices

- Dispatch original documents in a timely manner to avoid demurrage and detention fees

- Respond to emails pertaining to contracts, shipment schedule, documentation in a timely and efficient manner

Qualifications:

- High School Diploma or GED required

- Strong attention to detail and organizational skills

- Ability to multitask, follow-up and work in a fast-paced environment

- Excellent computer skills

- Experience with Microsoft Word and Excel

- Familiarity with shipping terms
