Job Title: Travel Operations Specialist

Work you’ll do:

The Travel Operations Specialist is responsible for coordinating and managing the logistical aspects of travel arrangements for the principals. In this role you will work closely with administrative support staff, the principals, airline contacts, and pilots, to ensure that all travel plans are executed seamlessly.

Key Responsibilities:

  • Collaborate to design and customize travel itineraries for the principals, their executives and key organizations, as well as the flight department, based on preferences and goals.
  • Arrange bookings and ensure all components of the itinerary, including flights, accommodations, transportation, catering and activities are well-coordinated, up-to-date and meet the principals needs.
  • Monitor and confirm bookings, track changes, and manage any adjustments to travel plans as needed.
  • Prepare and organize travel documents, including itineraries, tickets, visas, and travel insurance.
  • Handle Customs and Immigration for international destinations or manage these details via an international handler.
  • Work with FBOs frequently visited directly to ensure good working relationships, and to make sure that they are informed of all arrivals and departures.
  • Monitor flights in progress.
  • Provide excellent customer service by promptly addressing inquiries, requests, changes and concerns before, during, and after the trip.
  • Stay informed about industry trends and updates to ensure principals receive the best possible service.

Who we’re looking for:

  • Proven experience as a Travel Operations Specialist or similar role.
  • Strong knowledge of travel industry trends, destinations, and travel related products and services.
  • Exceptional organizational and multitasking skills.
  • Excellent communication and customer service skills.
  • Proficiency in travel booking and reservation systems (Sabre) is a plus.
  • Detail-oriented with a high degree of accuracy.
  • Ability to work effectively in a fast-paced, deadline-driven environment.
