Summary Job Description :

The Business Operations Manager provides oversight and guidance to the administrative operations and clinical support functions associated with claims processing, payment, and revenue generation for New Image Wellness. This position supports the growth of the New Image Wellness through collaboration with clinical, administrative, and clerical personnel associated with providing healthcare services to our patients and clients.

Essential Duties and Responsibilities

· Coordinates all front-end processes relating to patient registration, insurance verification, point of service collections and pre- authorization to support an efficient and successful revenue cycle process.

· Frequently reviews and manages performance metrics to optimize revenue cycle processes and monitor efforts to ensure data integrity.

· Works closely with the Office Manager, Biller, and Dr. Chris Winfrey to review and efficiently manage the back-end office tasks relating to claims reimbursements, payment posting, statement processing, collections, and claims denials.

· Collaborate with management and clinical teams in establishing and maintaining key performance indicators for the revenue cycle operations.

· Utilizes statistical reports, and other analytical tools to track claims through the entire lifecycle, ensuring payments are collected and determining the root cause of denied claims.

· Utilizes technology and other tools to strategize in identifying, developing, and implementing systems and process improvements to promote more efficient revenue cycle operations—appointment scheduling, patient pre-registration, point of service registration and collections, encounter utilization review, charge capture and coding, claims submissions, third party follow-up, remittance processing and rejections.

· Develops, implements, and updates policies and procedures to ensure efficient operations to maximize New Image Wellness revenue.

· Supervises the Billing Coordinator.

· Monitor front desk operations to ensure all revenue cycle policies/procedures are executed. Ensure that registration is completed appropriately, insurance eligibility verified, and appointments reconciled.

· Oversee collection, documentation, and reconciliation of daily patient payments (co-pays/self-pays)

New Image Wellness Compliance Responsibilities:

· Understands and adheres to New Image Wellness compliance standards as they appear in the New Image Wellness Code of Conduct and Conflict of Interest Policies.

· Keeps abreast of all pertinent federal, state and New Image Wellness regulations, laws, and policies as they presently exist and as they change or are modified.

· Comply with HIPAA and Confidentiality Policies and Procedures as they apply to the job

· Comply with accreditation and regulatory agencies standards.

· Adhere to all New Image Wellness Policies and Procedures.

SKILLS

· Ability to communicate positively and effectively verbally and in writing with diverse internal and external stakeholders.

· Ability to work independently, with minimal supervision, in establishing priorities and managing multiple and competing deadlines.

· Knowledgeable in medical terminology; understanding of health insurance processes including government/payer regulations; and excellent knowledge of health center operations including front and back processes

· Effective time management skills with the ability to meet deadlines

· Ability to prioritize and organize work on a daily basis

· Very Proficient with computer systems and spreadsheets including Microsoft Office and Google Operations

· Must Know how to type quickly and proficiently

· Strong Interpersonal skills

· Strong Analytical skills

· Strong Organization of Work Tasks, Project Coordination, and Management

· Keen Attention to Detail

· Prepare Financial Document

· Prepare Bank Deposits, Statements, and Reconciliation

· Must be Knowledgeable of QuickBooks and Able to Learn billing Software.

EXPERIENCE:

· Three or more years of relevant experience required

· Ability to process and maintain confidential matters and information

· Able to serve as a strong technical resource

· Clinical background (RN degree) preferred but not required, comparable experience in business or related field

EDUCATION:

· Bachelor’s Degree Required

· Master’s Degree Preferred

PHYSICAL DEMANDS:

Position requires some standing, walking, requires sitting under 2/3 of the time, use of hands to finger, handle or feel 2/3 of the time, reach with hands and arms, under 1/3 of the time, talk or hear over 2/3 of the time.

 

WORK ENVIRONMENT:

Minimum to Moderate noise (examples: business office with computers and printers, light traffic).
