Under the supervision of the Center Director or assigned supervisor, is energetic, outgoing, passionate, confident, and shares CET’s vision, values, and commitment. Performs duties associated with student admissions and supportive services and demonstrates superior customer service. Advises and assists prospective students throughout the enrollment process according to the eligibility/entrance requirements and CET student policies and procedures. Enters and maintains student information using computer database software. The Admissions Advisor is responsible for scheduling all training program orientations attended by prospective students and their families.

ESSENTIAL JOB FUNCTIONS (May include, but are not limited to, the following):

  • Provides information and assistance to prospective students regarding the admissions and application process, entrance requirements and training course descriptions; interprets and applies eligibility requirements to certify student eligibility.
  • Provides prospective students with a copy of the Student Catalog and Addenda and required disclosures.
  • Maintains contact with prospective students (i.e. phone calls, manages inquiries, answers emails, schedules and conducts campus visits, meets with walk-ins, conducts follow-ups and attends assigned school and community events to promote CET).
  • Communicates well verbally and written with students, instructors, staff, management and CET Departments to assist with resolving problems and to provide information regarding procedures, general admission and training programs.
  • Receives and processes admission applications; determines pre-admission status of students; registers and enrolls students into training program using the on-line computer system; creates admission student record files for each enrolled student.
  • Maintains confidential records, student files, including progress reports that may be shared with sponsoring agents, complying with all federal and state laws regarding adherence to safeguards to protect confidential student data.
  • Uses computer to analyze, process, record, retrieve and verify statistical data; operates computers, peripheral equipment, calculator, copier and other office machines.
  • Works closely with Corporate MIS Department staff to process student admissions and related documents; submits admission files on a timely basis.
  • Participates on projects/events required of all staff, i.e. accreditation preparations and reviews, sponsoring agents/funding source special report requests, visits and/or other related requests, etc.
  • Works closely with Center Director or assigned supervisor to monitor classroom capacity in relation to enrollment goals.
  • Must be available to work flexible hours as needed to accomplish school goals and work requirements.
  • Periodically participates in recruitment activities on and off campus and provides support for other special programs and off-campus outreach events.
  • Reviews programmatic documents to ensure accuracy, consistency and adherence to program requirements and reports deficiencies to Center Director.
  • As part of the admissions team, works with the Center Director to adjust operating plans and/or work on corrective action plans as necessary to achieve performance goals.
  • Monitors compliance with program regulations. Prepares monthly reports for submission to the Center Director.
  • Assists with evaluating new regulations and recommends necessary changes to current operations.
  • Cultivates and maintains strategic relationships with local community organizations and develops collaborations as appropriate.
  • Maintains confidential attendance records, student files, including progress reports that may be shared with sponsoring agents, complying with all federal and state laws regarding adherence to safeguards to protect confidential student data.
  • Utilizes software programs to analyze, process, record, retrieve and verify statistical data.
  • Maintains good organization in work areas and adheres to safety standards. Conducts regular inspections of designated work areas and equipment and reports any hazardous or unsafe working conditions to their supervisor or safety committee. Works with other staff to conduct emergency disaster drills.
  • Responds as the campus security authority as needed during a safety, security, emergency or disaster situation.
  • Participates in staff meetings and unit meetings; provides recommendations to Center Director.
  • Perform other duties as required.

REQUIRED KNOWLEDGE AND ABILITIES:

  • Knowledge of interpreting and explaining policies and procedures.
  • Ability to review and implement proposed changes in regulations for training programs.
  • Ability to analyze and evaluate information regarding program issues; make effective recommendations and implement approved changes.
  • Knowledge of various grants and relevant funding sources desired.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to listen effectively to students in order to understand their needs.
  • Ability to establish and maintain effective working relations with staff and community; provide excellent customer service.
  • Ability to work independently under pressure of deadlines and complete assignments based on overall goals and objectives.
  • Ability to prioritize and manage multiple projects and work in a fast paced, changing work environment.
  • Ability to interpret and apply government regulations as they apply to training programs.
  • Knowledge of safety standards required for the office operations and technical skills offered at the center.

EDUCATION AND/OR EXPERIENCE:

  • Bachelor’s degree in a related field is highly desired or any combination equivalent to a High school diploma or GED.
  • Experience in a similar field or a combination of experience, education and training related to the essential duties.
  • Knowledge of industry specific trades for skill areas that are being supervised and knowledge of Department of Labor and Department of Education regulations is desirable.
  • Experience working with persons of diverse socio-economic and ethnic backgrounds.

LICENSE AND CERTIFICATE:

  • Use of a personal or company vehicle for CET business may be necessary in the performance of assigned duties, picking up materials, and running errands.
  • The Human Resources Department may request copies of a valid driver’s license and proof of personal automobile insurance upon being hired and annually thereafter.
