Human Resources Specialist Job Description

Job Title: Human Resources Specialist
Location: Fully Remote, Washington
Type: Part-time, 10-20 hours per week.

About Systems Design West 
Sine 1989, Systems Design West (SDW) has provided exceptional, customized third-party insurance and patient billing solutions to ambulance providers throughout the western United States. Its clients span seven states and include fire departments, fire districts, municipalities, counties, and private ambulance providers. The company has grown tremendously in the last several years and expects to continue this trajectory, expanding its presence in existing geographies and growing into new ones. SDW is hiring a part-time Human Resources (HR) Specialist to assist with management of its growing and evolving workforce. SDW embraces a positive, upbeat, team atmosphere where employees are encouraged to work together to accomplish goals and solve problems.

Job Overview
Reporting to the CEO, the HR Specialist will work with SDW management to complete its employee management objectives and respond compassionately to day-to-day inquiries from employees. The HR Specialist will also be responsible for ensuring compliance with applicable laws, maintain registration with state unemployment departments, complete reporting requirements, run reports as needed, and maintain an up-to-date employee handbook. The position is estimated to be approximately 10-15 hours per week and can be fully remote from Washington.

Key Responsibilities
•    Manage company job postings and respond to inbound job inquiries. 
•    Maintain Employee Handbook using existing handbook software tools.
•    Update multi-state employment security department and payroll tax accounts.
•    Manage payroll taxes from registration, withholding, and submission in conjunction with the company’s payroll service providers.
•    Work with managers to complete and process payroll. 
•    Ensure all payroll earnings and deductions are complete and correct.
•    Process employee garnishments. 
•    Troubleshoot issues with company’s payroll service provider. 
•    Complete employment-related reporting such as EEO-1 reporting. 
•    Verify employee files are complete and correct, including Worker’s Comp codes and EEO codes.
•    Assist with employment documentation, such as employee warnings and termination letters. 

Qualifications
•    Bachelor’s degree in human resources, business administration, communications, or related field.
•    Minimum one-year experience in a similar role.
•    Strong knowledge of labor legislation, compliance, and payroll processes. 
•    Outstanding verbal and written communication skills.  

Compensation and Benefits
Compensation will be at a market competitive, hourly rate determined by the candidate’s qualifications and experience. Additional benefits include paid time off, paid holidays, paid sick leave, 401(k), flexible schedule, remote work.
