Job DescriptionJob Description

We are seeking outgoing, patient focused individuals to work as an Ophthalmic Scribe. We have locations in St. Louis Park, Edina, Edina Specialty, Woodbury, Blaine, Duluth, Maplewood, Anoka, and Mankato.

Responsibilities for an Ophthalmic Scribe include:

- Assist doctors in the patient examination, documentation, coding, and treatment process, including:

  • Injections, Laser, Cryo, Pneumatic, Endophthalmitis
  • Draws up Drugs and records drugs into the PODIS System
  • Anticipates the needs of the doctor, patient, and coworkers, ensuring optimum efficiency of the doctor
  • Interacts with all patients in a friendly, professional manner, securing required Consent Documentation
  • Secures prior authorizations, whenever required by the payer
  • Fully reviews information with patients, such as treatment processes, follow-up plans, etc.
  • Assists in the scheduling of the next visit and any other paperwork for the patient, as appropriate

- Ensures that all drugs are assigned to patients in accordance with:

  • The patient diagnosis
  • The doctors’ treatment plan
  • The payment policies of the payer
  • Documentation & drug assignment procedures
  • Is fully proficient and in all aspects of documenting and accessing MDI information, including, problem list documentation, discussion notes, exam notes, testing, coding, letters, e-Prescribe and MDI Notifications
  • Ensures that all open and closing tasks are completed in a timely and accurate manner:
  • Opening, closing, stocking, and cleaning of exam rooms
  • Drawing-up Lidocaine
  • Reconciles drug inventories, fee tickets and MDI Reports
  • Autoclave / sterilization procedures
  • Preps and preloads charts for future appointments
  • Proficient in the documentation of OCT and FA Images, as interpreted by physicians.
  • Assists the doctor in scanning for patients that may be candidates for participating in clinical trials
  • Works collaboratively with other scribes to continually improve processes & procedures
  • Performs all duties in a timely, friendly manner, coordinating effectively with all clinic & business office staff
  • Anticipates and assists in other clinic duties and daily responsibilities to achieve a smoothly run clinic
  • Has a sound understanding of all retina Imaging procedures and objectives
  • Is urged to actively pursue JCAHPO certification if certification has not already been obtained

Required Skills, Abilities and Attributes for an Ophthalmic Assistant include:

  • 2 + year previous Optometric/Ophthalmic scribe or tech experience
  • Excellent verbal, written and interpersonal skills
  • JCAHPO CPO, CPOA or CPOT certification desired, but not required
  • An excellent team player - works cooperatively and respectfully with all doctors, supervisors & co-workers
  • Deep desire to learn from our helpful doctors and mentors
  • Commitment to treat them like family members
  • Efficient and highly accurate user of applicable information technology and health care management systems
  • Physically capable of working long hours in fast-paced, often stressful, and potential emergency situations
  • High school or GED required
