Operations Assistant

Power Sales Group Inc., a manufacturer's representative firm specializing in sales of medium-voltage and high-voltage equipment to electric utilities, industrials, and specialized contractors in the Northeastern US, is seeking a full-time Operations Assistant to join our company.
Collaborating with the Director of Operations, you will play a crucial role in ensuring the smooth functioning of our business operations. Our ideal candidate has a wide range of applicable skills, from strong computer proficiency with office productivity suites to mindfulness with data entry tasks. In this role, you may juggle multiple projects simultaneously, necessitating time management, multitasking, and organizational skills.

Duties and Responsibilities:
- Assist the Director of Operations in overseeing daily activities.
- Enter a heavy volume of orders in Salesforce.com and upload necessary documents.
- Verify recorded information to ensure accuracy and completeness of data.
- File order acknowledgments and invoices while checking for accuracy.
- Assist the Inside Staff in preparing sales reports for customers.
- Manage and prioritize daily email and tasks.
- Manage daily/weekly office tasks as assigned.
- Assist in the entry of AR and manage reports for the AR process.
- Create marketing communications and maintain company website.
- Support scheduled meetings and team building sessions as required.
- Promptly answer the questions of staff and other stakeholders.
- Provide excellent customer service and maintain company relationships.
- Assist with onboarding processes.
- Take inventory and order office supplies as needed.
- Ensure compliance with company policies, procedures, and safety regulations.
- Assist in the maintenance and development of sales tools used to support company wide sales efforts.
Requirements:
- Bachelor's degree, preferred.
- Customer service experience or experience in a work environment is a plus.
- Proven experience in operations management or a similar role.
- Proficiency with common office productivity software, including Microsoft Excel.
- Salesforce experience is a plus.
- Strong data entry skills and attention to detail.
- Ability to work sitting in front a computer for long hours, every day.
- Superb time-management and organizational skills.
- Excellent verbal and written communication skills.
- Outstanding interpersonal skills.
- Ability to work effectively in a challenging environment.
- Ability to learn new skills and take directions.
- A willingness to learn and grow.
