POSITION SUMMARY:

As a Project Coordinator, you play a crucial role in the successful execution of our projects. You will be the central point of contact for various project stakeholders, ensuring effective communication, organization, and timely delivery of project milestones. Your meticulous attention to detail, excellent organizational skills, and ability to multitask will be pivotal in maintaining project momentum and meeting objectives.

Our firm specializes in hospitals, research labs, financial institutions, government buildings, corporate campuses, and higher education facilities. With over 23 years of experience, our family-run firm delivers industry leading security and technology solutions to improve our client’s operational efficiency, security, and customer/employee satisfaction.

KEY RESPONSIBILITIES:

  • Serve as the primary point of contact for project stakeholders, facilitating communication between internal teams, clients, vendors, and contractors
  • Maintain active project list for use in operations with deliverable dates, contacts (owner, architect, etc.) and resource assignments for each project
  • Obtain, organize, distribute, and update project documentation in project management systems
  • Monitor and coordinate responses/approvals for RFIs, submittals, and shop-drawings across multiple projects
  • Create and maintain project schedules, ensuring alignment with project objectives and deadlines.
  • Monitor project progress and identify potential delays or bottlenecks, proactively recommending solutions to mitigate risks.
  • Draft and issue meeting notes with key discussions, action items, and decisions
  • Provide administrative support on project tasks/deliverables
  • Coordinate meetings and other project tasks with project team (internal and external)

REQUIREMENTS:

  • Associate’s degree with a minimum of 1 year of experience in design/construction industry
  • Excellent written and verbal communication skills required
  • Highly organized with a strong attention to detail
  • Proficient in Microsoft applications (Excel, Project, OneNote, Teams, Planner, SharePoint)
  • Understanding of design/construction management principles and practices
  • Ability to read floorplans and schematic designs
  • Excellent time management skills
  • Experience with any of the following is preferred but not required: Bluebeam, Autodesk Construction Cloud, Procore, and writing specifications
