We are looking for a Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks.  You will be the first point of contact for our company. Our Receptionist’s duties include offering administrative support across the organization. To be successful as a Receptionist, you should have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking skills are essential for this position. Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.

Here are the key responsibilities:

  1. Greeting Visitors: When guests arrive at the office, you’ll welcome them warmly and direct them to the appropriate person or office.
  2. Answering Calls: You’ll handle incoming phone calls, screen them, and forward them to the relevant staff members.
  3. Mail Management: Receive, sort, and distribute daily mail and deliveries.
  4. Maintaining a Tidy Reception Area: Ensure that the reception area is neat, presentable, and well-stocked with necessary stationery and materials.
  5. Providing Basic Information: Offer basic and accurate information in person and via phone or email.
  6. Office Security: Maintain office security by following safety procedures and controlling access through the office lobby.
  7. Supply Management: Order front office supplies and keep track of inventory.
  8. Drivers: Communicate with our drivers on deliveries.  Provide accurate paperwork.
  9. Data Entry:  Enter orders and process invoices daily.
  10. Other Clerical Duties: Perform additional receptionist duties such as filing, copying, and faxing.

  • The ability to handle emergencies promptly and effectively.
  • Strong multitasking skills.
  • Solid written and verbal communication skills.
  • Ability to be resourceful and proactive when issues arise.
  • Excellent organizational skills.
  • Proven work experience as a Receptionist, Front Office Clerk, or similar role.
  • Proficiency in Microsoft Office Suite, Excel and Outlook required.
  • Hands-on experience with office equipment (e.g. fax machines and printers)
