As an Executive Assistant, you will be instrumental in supporting the Chief Operating Officer, ensuring seamless and efficient day-to-day operations. You'll collaborate with a dynamic team of high-performing individuals committed to delivering exceptional services.

Position Overview:

Contour Spa & Wellness, a rapidly expanding and innovative leader in the wellness industry, seeks a proactive and detail-oriented Executive Assistant to provide essential support to the Chief Operating Officer. This role is pivotal in driving the company's growth by efficiently managing administrative tasks, financial activities, and operational processes.

Responsibilities:

The Executive Assistant will oversee a wide range of tasks, collaborating closely with the COO and Contour Spa & Wellness Team to ensure smooth operations and facilitate efficient growth. The role will require a couple of days in the office but they rest of the responsibilities can be done remotely. Key responsibilities include:

Calendar and Email Management: Coordinate appointments, meetings, and events for the management team. Prioritize and respond to incoming emails promptly, ensuring timely follow-up.

Financial & Payroll Reconciliation: Assist in reconciling financial transactions and payroll activities, maintaining accurate and up-to-date financial records in collaboration with the finance team.

Expense Tracking & Reporting: Monitor and record expenses, prepare expense reports, and contribute to the creation of financial reports for management review.

New Location Support: Facilitate the setup of new spa and wellness locations, including website updates, system setup, and coordination of equipment and supplies.

Inventory Management: Oversee inventory orders, maintain records of inventory levels, and ensure timely replenishment.

Process Documentation: Develop and maintain checklists, manuals, and process documentation to ensure consistent and efficient operations across all locations.

Document Review and Editing: Review and edit documents, emails, presentations, and other materials for accuracy, clarity, and professionalism.

Equipment and Supplies Ordering: Manage the procurement of equipment, supplies, and devices required for spa and wellness centers.

Travel Arrangements: Arrange travel logistics, including flights, accommodations, transportation, and itineraries.

Lease Drafting and Docusign: Assist in drafting leases and other legal documents, facilitating contract execution using Docusign or similar platforms.

Monthly Bookkeeping: Collaborate with the finance team to support monthly bookkeeping activities and maintain accurate financial records.

Adaptability and Initiative: Demonstrate flexibility and willingness to assume additional responsibilities as the role evolves to meet the company's changing needs.

Qualifications:

  • At least 3 years proven experience as an Executive Assistant or in a similar role.

  • Strong proficiency in GSuite platforms and Microsoft Office Suite (Excel, PowerPoint, Word).

  • Familiarity with financial processes, payroll, and expense tracking.

  • Strong organizational skills with the ability to prioritize tasks and complete them accurately and on time.

  • Excellent communication and interpersonal skills.

  • Excellent problem-solving and troubleshooting skills with a proactive approach.

  • Ability to maintain confidentiality and exercise discretion.

  • Detail-oriented with excellent document editing and formatting skills.

  • Trustworthy with strong personal integrity.

  • Able to work independently with minimal oversight and in a team environment.

  • Legal knowledge or experience in drafting documents preferred. 

  • Prior experience in a rapidly growing company or the wellness industry is advantageous.

More about the role: 

Your responsibilities will encompass a diverse array of administrative and clerical duties, including calendar management, scheduling, expense tracking, and assisting in the establishment of new locations. Additionally, you'll have the chance to participate in process documentation, equipment procurement, and travel coordination, among other tasks.

To excel in this role, you must possess outstanding organizational skills, efficiency, and attention to detail, with the capacity to manage multiple responsibilities concurrently. Demonstrating strong self-direction, you'll proactively identify areas requiring additional support and take ownership of those tasks.

The ideal candidate will bring proven experience as an Executive Assistant or in a comparable role, along with exceptional organizational abilities, excellent communication skills, and proficiency in Microsoft Office Suite and relevant software. Familiarity with financial processes, payroll, and expense tracking is essential, alongside a keen eye for detail, discretion, and proactive problem-solving skills. Knowledge of document editing, formatting, and legal drafting is advantageous, as is prior experience in a rapidly growing company or the wellness industry.
