AP/AR Accounting Clerk

Job Description

Objectives of this Role:
The AP/AR Accounting Clerk will help with processing vendor invoices, getting approval for vendor payments, supporting invoice payments, and keeping accurate records. The role also involves handling monthly allowances, expense reimbursements, auditing statements, and working with vendors.

Organization Structure and Interfaces:
Reports to: Accounting Manager
Primary Interfaces: Vendors, MPI Construction Team

Responsibilities

Accounts Payable:

  • Ensure the 3-way match process for all PO-related invoices (gather the PO, get Receiving Approvals, and Invoice copy) happens on time and accurately.
  • Ensure all non-PO invoices get timely approvals and that GL accounting coding is correct.
  • Process and enter all A/P invoices and expense reports into Foundation for Construction Software, making sure GL Account coding is correct.
  • Mail or distribute signed checks and match check payment advice to invoices.
  • Help reconcile vendor statements and request missing invoices from vendors.
  • Assist with the credit card process, gather all receipts from cardholders to meet the month-end deadline.
  • Review employee expense reports, make sure receipts are attached, and approvals are received.
  • File, maintain, and distribute accounting documents, records, and reports.
  • Support the Accounting Team and Reception Area with additional duties.
  • Answer phones and welcome visitors when the Receptionist is not available.

Preferred Skills and Qualifications:

  • Associate’s Degree in business, accounting, or related field (not required)
  • Certificate/training in Accounting or Finance with an associate’s degree or higher (not required)
  • Familiar with the accounting process
  • Data entry skills
  • Comfortable with math and calculations
  • Good listening and communication skills
  • Attention to detail
  • Strong ethics
  • Ability to work independently and as part of the reception area team

  • Work Location: This is an office-based position.
  • Work Pace: Adapt to changing targets and quick turnarounds, and support the reception area.
