Job Summary:
Corporate office for three successful global industrial coatings specialty contractors is looking for a candidate with proven working experience to be responsible for providing accurate, timely financial information to assist decision-making in this multi-faceted position.
Essential Functions: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. - Entry of job registrations into the accounting system for contract values and budgets.
- Assist with job folders for projects which include contracts, insurance, specifications and required submittals and any other project relevant information.
- • Attends kick-off meetings for the projects.
- • Requests certificates of insurance and files preliminary notices.
- • Prepares monthly billings for the customers.
- • Supports production with changes to ongoing projects (PCO’s, CO’s).
- • Processes and pays weekly all accounts payable invoices.
- • Compiles payroll data, such as hours worked, job numbers assigned to, taxes, insurance, and union dues to be withheld, and employe identification number, from time sheets and other records.
- • Prepares computer input, enters data into computer files, and posts to payroll records.
- • Reviews wages computed and correct errors to ensure accuracy of payroll.
- • Prepares and issues paychecks.
- • Complies monthly union dues reports and payments to the different unions.
- • Provides certified payroll records to the requesting agencies.
- • Attends projects close out meetings for evaluation of the project and review of the estimate.
- • Assists the controller in various accounting duties.
- • Assist with other projects as assigned.
Knowledge, Skills, Abilities, Competencies and Experience:
• Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook
• Ability to use general office equipment (fax, scanner, copier, etc.)
• Ability to multi-task with excellent attention to detail and high level of accuracy
• Excellent interpersonal and communication skills, able to communicate with people at all levels.
• Ability to work in small, tight-knit organization, and willingness to take on additional responsibilities as required to maintain workflow.
• Record keeping, scanning, filling.
• Hiring practices and payroll law.
These qualifications may be met through on the job training and specialized classes.
Preferred Qualifications:
• Experience in Construction industry is a plus.
• Previous experience with Sage 100 Contractor.
• Experience working with Unions.
