General Summary

The Leasing Consultant is responsible for marketing and leasing residential and commercial properties. This role involves meeting prospective tenants, showing properties, assessing applications, and ensuring compliance with rental contracts and anti-discrimination laws.

 

 

Major Duties

Ø Meet potential tenants, show properties, and assess applications.

Ø Advertise vacant properties and develop marketing strategies.

Ø Maintain accurate records of property availability and leasing activities.

Ø Assist in preparing lease agreements and conducting lease signings.

Ø Handle tenant inquiries and provide excellent customer service.

Ø Ensure compliance with state and federal laws related to leasing.

Ø Conduct property tours and provide detailed information to prospective tenants.

Ø Assist in market surveys and analyze trends to adjust marketing strategies.

 

 

Leasing

Ø Greet prospects and qualify by covering all criteria (ask questions, utilize completed guest cards, etc.).

Ø Immediately record all telephone and in-person visits on appropriate reports.

Ø Files own guest cards and maintains them according to established procedures.

Ø Inspect models and make them available “market-ready”; communicate related service needs to the property manager.

Ø Demonstrate community and apartment/model knowledge and apply product knowledge to clients needs by communicating the features and benefits; close the sale.

Ø Have the prospect complete the application and secure a deposit in accordance with the company procedures and fair housing requirements.

Ø Update the availability report and process applications for approval. (i.e., credit check, rental history, etc.) Submit processed applications to the Community Manager for approval. Follow up with applicant regarding status.

Ø Ensure the apartment is ready for residents to move in on the agreed-upon date.

Ø Immediately follow-up on prospects that did not close and attempt to close the sale again. If you are unable to help prospects, refer them to sister communities to meet their needs.

Ø Secure the new resident’s signature(s) on appropriate paperwork prior to move-in. Orient new residents to community.

Ø Assist in monitoring renewals. Distribute and follow-up on renewal notices.

Ø Monitor advertising effectiveness. Gather information about market competition in the area and file.

Ø Represent the company in a professional manner at all times.

 

 

Administrative

Ø Accept rental payments and give immediately to the assistant Manager.

Ø Type lease, complete appropriate paperwork and input information on Yardi System accurately and on a timely basis. Review with the Community Manager prior to obtaining signatures.

Ø Maintain current resident files.

Ø Maintain and record daily inspections for the community.

Ø Distribute all company- or community-issued notices.

Ø Maintain accurate monthly commission records on leases and renewals for bonus purposes.

Ø Assist management team with other various tasks as required.

Ø Consistently implement policies of the community.

 

 

Resident Retention

Ø Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments.

Ø Quickly complete maintenance Service Request and inform the maintenance team. Answer questions for residents about community, repairs, rent, rules, etc. Follow up on a timely basis if you are unable to respond to residents on all matters.

Ø Ensure all maintenance repairs are handled satisfactorily by contacting residents with completed Service Requests on a weekly basis.

Ø Maintain open communication with the property manager and Maintenance Supervisor.

Ø Contribute to cleanliness and curb appeal of the community on a continuous basis.

Ø Assist in planning resident functions. Attend functions and participate as host for any functions as directed by the Community Manager.

 

 

Neighborhood Marketing

Ø Participate in outreach marketing activities on a regular basis to obtain prospective residents.

Ø Advise residents of referral concessions (if permitted).

Ø Assist in placing, removing, and updating banners, balloons, bandit signs, flags, etc.

Ø Distribute newsletters, pamphlets, flyers, etc.

Ø Conduct market surveys and shop competitive communities.

 

 

Essential Job Functions:

Ø Fair Housing Certification, willingness to obtain prior to interacting with prospective residents.

Ø Demonstrate an ability to support and contribute to community team.

Ø Demonstrate strong oral and written communication skills.

Ø Operate telephone, personal computer/keyboard, Microsoft Office including Word and MS Outlook, and community software

Ø Must possess a positive attitude and the ability to smile under all circumstances.

Ø Participate in training in order to comply with new or existing laws.

Ø Ability to work a flexible schedule, including evenings and weekends.

Ø Two (2) years experience in previous relevant customer service.

Ø Neat, clean, and professional at all times throughout the workday and/or whenever present at the community.

Ø Comply with expectations as demonstrated in the employee handbook.

Ø Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem.

Ø Successfully pass drug test.

 

 

Skills and Qualifications

Ø Strong customer service and interpersonal skills.

Ø Excellent verbal communication and sales skills.

Ø Attention to detail and organizational abilities.

Ø Knowledge of rental contracts and anti-discrimination laws.

Ø Proficiency in MS Word, Outlook, and property management software.

Ø Ability to multitask and handle multiple inquiries simultaneously.

Ø Must be Proficient in both English and Spanish (Bilingual)

 

 

Physical Demands

Ø Frequent walking, standing, and talking.

Ø Occasional use of hands for handling objects and reaching.
