Job Description:

  • We are seeking a detail-oriented and organized individual to join our team as a Special Mailing Coordinator.
  • In this role, you will be responsible for managing multiple mailing projects simultaneously, serving as a liaison between clients and our operations team, and ensuring that all mailing tasks are completed accurately and efficiently.

Responsibilities:

  • Manage multiple mailing projects concurrently, ensuring that deadlines are met and client expectations are exceeded.
  • Act as a primary point of contact for both internal and external clients, communicating project updates and addressing any concerns or inquiries.
  • Demonstrate proficiency with numbers and data, as well as exceptional attention to detail, to ensure accurate processing of mailing materials.
  • Collaborate with the Development team and operations personnel to understand print and inserter machine requirements for each project.
  • Utilize OOM (Office Output Manager) to generate reports for clients, providing them with timely updates on project status and performance.
  • Troubleshoot any issues that arise during the mailing process, escalating complex problems to the appropriate manager for resolution.
  • Possess a thorough understanding of postal requirements and regulations to ensure compliance with mailing standards and guidelines.
  • Thrive in a fast-paced, multitasking environment, adapting quickly to changing priorities and deadlines.
  • Generate and update reports for billing purposes, ensuring accuracy and completeness of all financial records.

Qualifications:

  • Previous experience in a mailing or logistics role preferred.
  • Strong organizational skills and the ability to manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues at all levels.
  • Proficiency with Microsoft Office Suite and other relevant software applications.
  • Familiarity with OOM or similar reporting tools is a plus.
  • Detail-oriented mindset with a commitment to accuracy and quality.
  • Ability to work effectively under pressure and meet tight deadlines.
  • Knowledge of postal regulations and requirements preferred.
