Title: Construction Secretary

Job Description:

We are seeking a highly organized and detail-oriented Construction Secretary to join our team. The Construction Secretary will play a crucial role in providing administrative support to the construction department. The ideal candidate will be proficient in multitasking, have excellent communication skills, and be able to work in a fast-paced construction environment.

Responsibilities:

- Assist in the preparation of construction documents, including contracts, proposals, and bid packages.
- Manage and maintain construction project files, ensuring all documentation is accurate and up-to-date.
- Coordinate and schedule meetings, site visits, and inspections for the construction team.
- Prepare meeting agendas, take meeting minutes, and distribute them to relevant stakeholders.
- Assist in the preparation of project budgets and track expenses.
- Communicate with contractors, subcontractors, and suppliers to ensure timely delivery of materials and services.
- Coordinate the procurement and delivery of construction equipment, tools, and supplies.
- Maintain accurate records of construction project progress, including timelines, milestones, and deliverables.
- Assist in the preparation and distribution of construction project reports.
- Perform general administrative tasks, such as answering phone calls, responding to emails, and maintaining office supplies.

Requirements:

- High school diploma or equivalent; additional education or certification in construction management or a related field is a plus.
- Proven experience as a secretary or administrative assistant in the construction industry is preferred.
- Proficiency in MS Office suite (Word, Excel, PowerPoint) and construction management software.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
- Exceptional communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Knowledge of construction industry terminology and processes.
- Ability to work independently and collaboratively in a team environment.
- Strong problem-solving skills and ability to adapt to changing priorities.
