Job Overview

Oversee the company's financial data and compliance by maintaining accurate books on accounts receivable, daily financial entries and reconciliations. Perform daily accounting tasks such as monthly financial reporting, general ledger entries, and record payments and adjustments. Ensure accounts are current and accurate, using QuickBooks, spreadsheets and other tools to track and manage data.

 

Responsibilities and Duties

  • Conduct reconciliation of accounts on an as needed basis.

  • Maintain and balance the general ledger in an accurate, complete, and up-to-date manner.

  • Perform account receivable functions including invoicing, deposits, collections, and revenue recognition.

  • Prepare financial reports data by collecting, analyzing, and summarizing account information and trends.

  • Assist with budget preparation.

  • Assist with audits as needed.

  • Update job status spreadsheet with new, closed and canceled opportunities.

  • Assist with Shop and Warehouse Inventory Management.

  • Suggest improvements to the process for invoicing.

  • Bill clients for storage and manage annual contracts.

  • Manage tenants and maintain leases.

  • Set up notifications for collections on Bill.com.

  • Review invoicing with the sales team to ensure understanding of job status, client payments, and when commissions are paid.

  • Close jobs and create commission statements for payroll.

  • Create job margin reports and manage job spreadsheets for forecasting.

 

  • Manage credit card contracts (Amex, Visa/ Divvy)

  • Special projects as assigned by the President.

 

Qualifications

  • Bachelor’s degree in business, accounting, math or a related field, or equivalent experience.

  • 5 years financial or accounting work experience.

  • Proficient in QuickBooks and Microsoft Excel.

  • Familiarity with a wide range of financial transactions including Accounts Payable and Accounts Receivable

  • Knowledge of Generally Accepted Accounting Principles.

  • Solid understanding of Statement of Financial Accounting Standards rules.

  • Knowledge of relevant legislation and regulatory requirements.

  • Quantitative and analytical skills.

  • Ability to handle confidentiality.

  • Able to multitask, prioritize, work under pressure and meet deadlines.

  • Ability to communicate and understand complex data clearly both verbally and in writing.

  • Interpersonal and customer service skills.

  • Solid data entry skills.

  • High degree of accuracy and attention to detail.

  • Knowledge of job costing.
