POSITION OVERVIEW

  • A part-time prepper/scanner for a busy 17-provider private ophthalmology practice located in Northern Virginia
  • Must be available to work Monday - Friday during the following hours (determined by office needs): 7:30 AM - 4:00 PM; 8 AM - 4:30 PM; 8:30 AM - 5:00 PM; 9:30 AM - 6:00 PM
  • The Medical Records Prepper/ Scanner is primarily responsible for ensuring that: 1) All patient records are legibly scanned into our EHR system; 2) All documents received are scanned in and sent to the appropriate recipient on time; and 3) All inter-office packages are recorded, sent, and distributed promptly.

DETAILED JOB DESCRIPTION

  • Highlight form sections that require a patient’s initials/signature
  • Identify and print forms needed for a patient’s visit
  • Identify expired and valid information/documents within a patient’s account
  • Identify other additional information needed for a patient’s visit
  • Notify management when updated forms are not loaded for printing
  • Pull insurance authorizations, as needed
  • Pull insurance eligibility, including co-pay amounts and unmet deductible amounts
  • Retrieve surgery documents for pre-op appointments
  • Update patient demographics, as needed
  • Other duties, as assigned
  • Account for and scan all chart notes by the end of each day
  • Assign appropriate staff to transport inter-office packages as frequently as needed
  • Follow-up on requests to locate missing chart notes
  • Log all incoming and outgoing inter-office packages
  • Prepare, Edit, and Mail incoming dictated letters
  • Review upcoming appointment schedules to ensure prior visit chart notes are available prior to upcoming appointment
  • Save and periodically review paperwork to be scanned in for patients not yet in our system
  • Scan barcoded and non-barcoded in-office documents into patient accounts
  • Scan faxes and mailed paperwork into patient accounts and send them to the appropriate recipient(s), if applicable
  • Store scanned documents in compliance with company policies
  • Visit storage units (off-site and on-site) to search for missing records.
  • Ability to travel to the other offices when needed
