Overall Responsibility:

Essential in coordination of  work flow , key to optimal AR collections , professional representation of OCSPS and servicing patients  with integrity, smiles and proficient service .

 

ESSENTIAL JOB FUNCTIONS:

  • Answers the phone timely (no more than 3 times)  while maintaining a polite, consistent phone manner using proper telephone etiquette
  • Reviews  provider schedules for efficiency/ balance fiscal sense and optimization
  • Responsible for keeping the reception area clean and organized- follow  open and close schedule
  • Registers new patients and updates existing patient demographics by collecting detailed patient information including personal , photos ,   financial information and verification of benefits
  • Reviews patient schedule day before to ensure preparedness
  • Call patient 2 days ahead for copays and balances
  • Has new patient work in order and ready to go prior to the next business day
  • Ensures benefits are current at the time of patient encounter
  • Facilitates patient flow by notifying the provider of patients' arrival via EMR , being aware of delays, and communicating with patients and clinical staff of those delays
  • Responds to inquiries by patients, prospective patients, and visitors in a courteous manner
  • Documents patient calls in EMR, i.e. telephone encounters when appropriate, using good common sense.
  • Keeps medical office supplies adequately stocked by anticipating inventory needs, placing orders, and monitoring office equipment, i.e. paper, toner (both copier machine-front and back.
  • Protects patient confidentiality, making sure protected health information is secured by not leaving PHI in plain sight and logging off the computer before leaving it unattended.
  • Communicates with external referral sources for appointments and enquiries. Scheduling referral appointments within 48 hour OCSPS protocol
  • Process medical request with appropriate, reconciling medical records with payments accordingly.
  • Additional task as needed/required
  • Manages super bills to make sure all charges are captured

Administrative Responsibility

·         Uses time clock accurately and is punctual on a consistent basis.

·         Demonstrates a positive attitude in all assigned task and towards others.

·         Follows "Call-In" policy. Absences during evaluation period

·         Adheres to department dress code. Maintains a professional appearance at all times.

·         Perform special duties and projects as assigned.

Education:  High school diploma or GED

Experience: Office administration or receptionist experience or a minimum of one-year work experience preferred, but not required.  Time management, multi-tasking, organization, scheduling and strong customer service required.

 

PHYSICAL REQUIREMENTS:

Candidate must be able to read and speak English fluently, have cognitive skills for math, reading, computer skills, and communication skills to deal well with the public (customers) as well as peers. 

Lifting of 20-30 pounds, potential for exposure to blood and body fluids (rare).
