Position Overview:
We are seeking a highly organized and proactive Commercial Back Office Specialist to join our American branch. The ideal candidate will be responsible for managing commercial back-office operations, coordinating travel arrangements for our technical team, handling expense reports, and ensuring timely payments from customers. This role requires excellent organizational skills, attention to detail, and a customer-centric approach. You will report directly to the General Manager (GM) and coordinate closely with our Italian Headquarters.

Key Responsibilities:
1. **Commercial Back Office Management:**

   - Handle all administrative tasks related to commercial operations.
   - Process and manage orders for spare parts and service requests.
   - Maintain and update customer records and files.
   - Draft correspondences and other formal documents.
   - Plan and schedule appointments and events.
   - Develop and implement organized filing systems.
   - Process customer orders, verifying content (billing/delivery address, quantity, amounts, Incoterms), and writing order acknowledgments.
   - Manage order flow processing at the Italian HQ and the import of parts for DDP delivery.

2. Travel Coordination:
   - Organize and book travel arrangements for technical staff, including flights, hotels, and transportation.
   - Ensure travel plans are cost-effective and align with company policies.
   - Prepare and distribute itineraries to technical staff.

3. Expense Management:
   - Collect, review, and process expense reports submitted by technical staff.
   - Ensure all expenses are documented and comply with company policies.
   - Handle any discrepancies or issues related to expense reports.

4. Customer Payment Management:
   - Monitor customer accounts and follow up on outstanding payments.
   - Send reminders and communicate with customers regarding overdue invoices.
   - Relaunch installments and unpaid payments.
   - Work closely with the finance team to resolve any payment-related issues.

5. Customer Service:
   - Serve as the primary point of contact for customers regarding spare parts and service inquiries.
   - Provide exceptional customer service and support to ensure customer satisfaction.
   - Address and resolve customer complaints or issues promptly and professionally.
   - Manage customer communication, including defining needs and clarifying requests.
   - Send request acknowledgments to customers and follow up on pending responses or additional information.
   - Write commercial offers according to client needs and ensure translation of articles into the client's language.

6. Commercial Activity:
   - Contribute to the commercial activity of the service, including the creation of requests to allow follow-up.
   - Participate in commercial activity, relaunch and monitor offers.
   - Promote the company's image by behaving professionally.
   - Detect opportunities for offers/sales of other service products (retrofit, intervention, hotline, etc.) and inform the Customer Care Manager.

Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience in a similar role, preferably within the industrial machinery sector.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of travel booking systems and expense management software.
- Customer-oriented mindset with a commitment to providing high-quality service.
- Ability to prioritize and multitask.
- Excellent written and verbal communication skills.
- Strong attention to detail and organizational skills.
