Miami Regional University has an immediate opening for a full time Registrar File Clerk. Staff member will serve as a positive role model for students, faculty and guests in the areas of customer service, respect, communication, collaboration and excellence. The Registrar File Clerk is responsible for the integrity and proper document retention of the academic student files for the university. This position handles paperwork of a confidential and sensitive nature and must function efficiently and effectively in a professional environment.  Ensure all duties are handled with integrity, accuracy, confidentiality, and maintenance of records in compliance with all state, accrediting and federal regulations, and be able to respond to all inquiries expected in an audit or accreditation visit.  Treat all staff, faculty, and students with respect they deserve and the feeling of a welcomed part of our organization.

Essential Duties and Responsibilities:

  • Manage all file pull requests from other departments
  • Manage the Sign out log for files and ensure proper procedure is followed (all files are returned)
  • Maintain file room organized, clean and without clutter, filing all documents in proper tabs of each file
  • Complete file inventory (with assistance from Senior Registrar and Asst. Registrar) to ensure all files are accounted for and filed in the proper area
  • Ensure all files are filed in proper alphabetical order
  • Relocating of files from active to inactive room when students withdraw and graduate
  • Assist students with picking up transcripts/diplomas
  • Assist students with ordering transcripts in person and via phone and e-mail
  • Assistance with special projects including School Docs scanning
  • Monthly submissions of attendance and transcripts to Career Source for students currently attending
  • Contact students to complete graduation clearance process so that the Registrar can switch them to Graduate from Academic Completer
  • Create Enrollment Letters for students requesting them and submit to registrar for approval/signing
  • Update CampusVue student Activities with individual result of document request & every step of the process
  • Contact students individually via e-mail when their document requests are denied due to balance issue
  • Contact students individually via e-mail when diploma and/or transcripts are ready for pick up or have been mailed
  • Reasonable and reliable attendance
  • Other duties, as assigned. 

 Minimum Qualifications:

The ideal candidate will be dynamic, organized, energetic, and able to support cross functional coordination in a sometimes fast paced environment using excellent judgement.  May be required to be available during non-regular business hours, on occasion or as needed to provide support and assistance to the University.

Knowledge: Clerical: Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures

Customer and Personal Service: Knowledge of principles and processes for providing excellent customer service when dealing with students and co-workers

 Work Schedule:

Part time or full time.  Work schedules vary.  Daily and weekend hours may be required.
