Due to growth and expanded marketing we are looking to add another front desk scheduling coordinator. This candidate must be happy to greet our patients with a smile, hold friendly conversations, and master of organization with attention to detail with phone calls, emails, and texts.

Responsibilities

  • A Phone Extraordinaire Answer telephones, takes complete and accurate message and relays information appropriate party to support operational aspects of patient care. Ability to answer questions regarding office and departmental operations, policies and procedures.
  • Schedules patient appointments according to guidelines by providing documentation of scheduled appointments, procedural instructions and location directions. Monitors the daily patient schedule, places reminder calls and identifies no shows for rescheduling.
  • Mastery of our practice software systems - training provided.
  • Eagerness to learn new systems and take part in on going trainings.
  • Management of patient forms to ensure completeness according to our policies and procedures.
  • Management of Release of Records
  • Ability to review schedule, anticipate errors and take corrective action.
  • Verifies patient demographics and insurance information.
  • Retrieves information from files as requested and assembles paperwork and reference material as requested by patients or providers.
  • Responsible for following HIPAA confidentiality guidelines while performing all duties.
  • Maintains and fosters effective customer relations with patients, providers and the public by listening, responding, and documenting customer phone inquiries.
  • A Smiling Face is a must Highest prioritization to support patient care and all transitions from reception to check out.
  • Exhibits extensive knowledge and understanding of the Advanced Access Process.
  • Monitor provider schedules and correct as needed.
  • Work with provider/clinical team to ensure patient access.
  • Physical requirements to keep waiting area, break room, and coffee areas clean.

Follows team appointment and same day appointment guidelines.

  • Recognize calls requiring special handling and attention in order to redirect the call accordingly.
  • Initiate the referral process and faxing of approved referrals. Also providing answers to patients inquires regarding a referral or the referral process.
  • Attend daily morning meetings as well as monthly trainings

Job Type: Full-time

Pay: $21.00 - $27.00 per hour (DOE Dental Experience but will train)

Expected hours: 32 – 40 per week. We are open Mon-Fri 8-5pm with morning huddles at 7:45am.
