Job DescriptionJob Description

The Senior Contracts Administrator is a professional who ensures ongoing knowledge and compliance with all contracts beyond initial implementation and throughout the full-cycle billing. Monitor, respond to, and communicate changes in billing requirements, regulations, and reimbursement rates, and maintain provider enrollments with clients.

Responsibilities

  • Review contracts for new jobs and negotiate changes in preparation for execution in compliance with company policies and work practices in a timely fashion and per the contract review process.
  • Read contracts to extract billing information with extensive detail and line items
  • Maintain an organized process for the safekeeping of contracts and other related documentation to construction jobs.
  • Maintain and/or ensure maintenance of client records
  • Review the work of billing staff to ensure accuracy, resolving inconsistencies as needed
  • Create and provide a prioritized list of clients to be invoiced to team members
  • Locate, or assist in the location of, hard-to-reach clients
  • Draft and distribute weekly reports of invoicing and billing metrics.
  • Reporting of current billing totals
  • Maintenance of all billing data related to work in process
  • Advise staff on proper, legal parameters for construction practices
  • Provide support to customers with disputes or inquiries concerning invoices or billing process
  • Prepare monthly American Institute of Architects (AIA) billing paperwork
  • Act as a liaison regarding billing between the customer and the project managers
  • Review and execute compliance including waivers, conditional, unconditional, and final
  • Assist in the collection of unpaid invoices over 30 days by email or by phone
  • Review billing and manage the input of change orders
  • Coordinate with Project Managers to make any adjustments to invoices, such as change orders and retention adjustments
  • Assist in the collection and verification of Certificate of Insurance for each project
  • Audit project completion/reconciliation to the system to show profit or loss

Qualifications

  • Bachelors degree or equivalent experience required.
  • Experience with the AIA billing process and paperwork
  • Strong computer and communication skills required.
  • Strong team interaction is required
