Sales Coordinator Role Description

Primary Purpose of Position:

Field and screen all calls, messages, emails, direct and control the functions of the sales leads and marketing. The Sales Coordinator is responsible for setting all sales appointments for the company and providing reports to help management manage the sales and marketing functions of the company.

Work Hours:

Monday through Friday 8:00AM-4:00PM. This position may require extended hours during the peak season.

Minimum Job Requirements:

1. Excellent listening, customer service and phone skills.

2. Strong organizational, multitasking, and communication skills.

3. Computer data entry skills.

a. The customer relationship is what a Sales Coordinator primary job truly is. You are responsible for helping create and foster courteous, professional behavior using installation standards, and forming a lasting relationship around our company brand.
b. Customer happiness and satisfaction are mandatory based on personal relationships with our customers, and Sales Coordinators will always conduct themselves with the utmost professionalism.
c. Exceed customer’s expectations for quality and value.
d. Handle and resolve all customer complaints within 24 hours, or within policy.
e. Ensure that the phone is always answered within three rings.
f. Return all calls within the same day.
g. Communicate with the Operations Manager on a regular and routine basis to resolve questions, concerns, or issues.
h. Achieve 100% customer happiness.

3. Leadership Expectations
a. Set the tone for the sales department by living the company core values.
b. Set clear, concise expectations for Comfort Advisors regarding setting sales appointments, following up on open sales leads, following up on all sold jobs and maintaining company policies.
c. Interface with Service Department to promote and reward sales lead turnovers.
d. Cross train Customer Care Coordinator to set sales leads and utilize the company’s lead management system.
e. Produce & track Comfort Advisors performance based on specific KPI’s.
f. Track both the source of all sales leads and the source of those leads that result in a sale.
g. Interface with Sales Manager to develop a marketing plan that generates the sales lead requirements.
h. Interface with Sales Manager to prepare for all sales meetings.
i. Maintain and enhance company’s installation customer satisfaction levels.
j. Keep your area neat, clean, and organized.

4. Sales Coordinator Expectations
a. Qualify incoming phone requests for sales appointments within company guidelines.
b. Return all calls within the same business day.
c. Coordinate all Comfort Advisor self-generated leads and technician sales lead turnovers.
d. Set and maintain Comfort Advisors sales appointment schedule.
e. Maintain and enhance the company’s lead and sales tracking systems.
f. Process customer financing when needed.

5. Responsibilities and Duties
a. Taking incoming customer phone calls.
i. Qualify incoming customer phone calls as sales leads using company processes.
ii. Secure the sales appointment so preferably all decision makers are present.
iii. Fill out a sales lead appointment sheet.
iv. Input customer contact information into the company’s lead and sales management system.
v. Collect lead source information for marketing purposes.

b. Taking company internal sales leads.
i. Take incoming calls from service and maintenance technicians for sales leads. A technician sales lead is defined as setting the sales appointment from within the home.
ii. Take Comfort Advisor self-generated leads.
iii. Set sales appointment date and time with customer.
iv. Input customer contact information into the company’s lead and sales management system. Include internal sales lead information.

c. Dispatching Comfort Advisors to sales appointments.
i. Assign Comfort Advisors to sales appointment time slots using company guidelines in setting sales appointments.
ii. Forward the sales lead appointment sheets for the day to Comfort Advisors or dispatch Comfort Advisor directly to sales appointment.
Debrief with Comfort Advisor after sales appointment to collect information about the sales call, including was a sale made, if so the dollar amount, etc. Next customer contact date if sale is not made or reason if sale is lost. Enter this information into the company’s lead and sales management system.
iii. Follow up on customer finance paperwork when needed to finance approval for sale. Follow up on any issues with Comfort Advisor.

d. Provide Sales Manager with sales management reports.
i. Sales appointment schedule
ii. Open leads by Comfort Advisors
iii. Sales back log
iv. Sales closure rate by Comfort Advisor
v. Dollar sales by Comfort Advisor
vi. Lead Source
vii. Technician spiff updates for sales leads that turn into a sale

e. Sold Jobs
i. Set up customer and job in software.
ii. Create job file including but not limited to; invoice, rebates, financing, warranty, permits, install check list and turn file over to OM.
iii. Once equipment arrives, Sales Coordinator finalizes all install paperwork including M/N, S/N, rebate info, private label badges, etc. and places into the final installation folder. Confirms install start date and time with customer, length of job and payment terms day prior to installation.
iv. Sales Coordinator closes out job, processes rebates, extended warranties and sales spiffs. Schedules and closes out any open permits and inspections. Enters invoice, set up equipment, ESA, and warranty information in software, verifies all final documents are processed and complete the install check list.

f. Rehash Lost Leads
i. Identify lost leads
ii. Follow-up with customers. Offer valuable information and additional promotions until a decision has been made.
