Specialized Services Group, a commercial construction, painting, and restoration General Contractor, is seeking an Accounting/HR Assistant to join our team

The Accounting/HR Assistant will provide support to the Accounting Team.  The Accounting/HR Assistant is responsible for assisting with the daily accounting and human resources needs of the organization.  These include, but are not limited to, processing accounts payable, bank deposits, assisting with Time and Attendance, and assisting with benefits administration.  This position reports to the Accounting Manager. The Accounting/HR Assistant strives to provide exemplary customer service to internal and external customers while maintaining the highest standards of accuracy, timeliness, and compliance. 

This position requires a flexible individual with the ability to change direction at a given notice. An individual that is organized, resourceful, demonstrates integrity, thrives in a fast-paced environment and works with minimal supervision; ensuring work performed is high quality, accurate and cost effective.  

Knowledge of HR, accounts payable, accounts receivable, file locations and the daily processes of the accounting office. The Accounting / HR Assistant will be required to maintain GAP principles, multi-task, complete tasks in a timely manner and participate as a team player.

SCOPE OF RESPONSIBILITY / DUTIES

--    Audit incoming invoices and other payment requests for appropriate coding and authorizations, routing as appropriate.

--   Review credit card expense reports for accuracy and completeness.

--   Maintain vendor files, including contracts for services and paid items.

--   Maintain employee files.

--   Generate internal and external reports from accounting systems as needed.

--   Assist in resolving discrepancies and irregularities.

--   Review timesheets, vacation requests, preprocessing and payroll reports. 

--   Assist in reconciliation of all benefit deduction statements.

--   Assist in Reconciliation of monthly benefits bills with HR and payroll.

--   Assist with ensuring accuracy of Time and Attendance data and various accruals.

--   Assist with ensuring compliance with IRS and other governmental laws and regulations.

--   Prepare, distribute, and collect new hire documents.

--   Maintain I-9 files.

--   Process insurance documentation and update policy records.

--   Respond to employment verifications and drug test results.

--   Data collection and entry, and preparation of employee census information for compliance reports

--   Assist in benefits administration, including processing new hires, terminations, and employee changes.

--   Electronic filing of Employee Records

--   Filing as needed.

--   Enter credit card charges as needed.

--   Assist with preparation of annual 1099’s and W2’s.

--   Perform other duties as requested by the Accounting Manager

REQUIREMENTS

Education

        Required: High school or equivalent

        Preferred: 2 to 4 years of college accounting experience.  

Experience

        Required: Minimum of 3 years accounting/HR experience in QuickBooks.

        Preferred: Five years construction Accounting/HR experience with QuickBooks

SKILL, KNOWLEDGE, AND ABILITIES

The use of analytical and observational skills, which demonstrates an ability to organize, control and manage procedures accurately.  Ability to analyze the details, be thorough in the task, recognize any issues and complete all steps of the process as required.  General office skills with basic accounting knowledge.
