We are seeking a Customer Service Receptionist to join our team You will be responsible for helping customers by providing product and service information and resolving technical issues, As the first point of contact for our company, the Receptionist will play a crucial role in setting a welcoming tone and providing a positive experience for all visitors and clients. This role requires exceptional interpersonal skills, a high degree of organization, and the ability to handle multiple tasks simultaneously in a fast-paced environment.


Responsibilities:

  • Handle customer inquiries and complaints
  • Provide information about the products and services
  • Troubleshoot and resolve product issues and concerns
  • Document and update customer records based on interactions
  • Develop and maintain a knowledge base of the evolving products and services
  • Greeting Visitors: Welcome visitors in a warm and friendly manner, ascertain their needs, and direct them to the appropriate person or office.
  • Communication Management: Answer, screen, and forward incoming phone calls while providing basic information when needed. Manage company email inquiries and ensure prompt and accurate responses.
  • Administrative Support: Perform clerical duties such as filing, photocopying, transcribing, and faxing. Maintain security by following procedures, monitoring logbooks, and issuing visitor badges.
  • Appointment Scheduling: Coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Schedule and confirm appointments and maintain event calendars.
  • Information Management: Update and maintain office policies and procedures. Ensure that the reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures).
  • Resource Coordination: Order front office supplies and keep an inventory of stock. Assist in making travel arrangements and booking venues for conferences and events.
  • Issue Resolution: Handle complaints and specific customers’ requests, troubleshooting emergencies, and providing accurate information.

Qualifications:

  • Previous experience in customer service, sales, or other related fields
  • Ability to build rapport with clients
  • Ability to prioritize and multitask
  • Positive and professional demeanor
  • Excellent written and verbal communication skills
  • Experience: Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Technical Skills: Proficiency in Microsoft Office Suite. Hands-on experience with office equipment (e.g. fax machines and printers).
  • Personal Skills: Professional attitude and appearance. Solid written and verbal communication skills. Ability to be resourceful and proactive when issues arise.
  • Multitasking Skills: Excellent organizational skills. Multitasking and time-management skills, with the ability to prioritize tasks.
  • Customer Service: Customer service attitude with the ability to deal with emergencies in a timely and effective manner.
