Job Summary:

The Oil Delivery Dispatcher is responsible for managing and coordinating the delivery of heating fuel, diesel fuels and supplies to customers. This role ensures that all deliveries are scheduled efficiently, routes are optimized, and customer expectations are met. The Delivery Dispatcher works closely with drivers, warehouse staff, and customers to facilitate smooth operations and timely service.

Key Responsibilities:

Delivery Coordination:

•                     Schedule and dispatch delivery drivers to ensure timely and efficient delivery of heating equipment and supplies.

•                     Coordinate with the warehouse team to ensure that orders are accurate and ready for delivery.

•                     Monitor delivery routes and make real-time adjustments as needed to accommodate changes or address issues.

 

Route Optimization:

•                     Plan and optimize delivery routes to minimize travel time, reduce costs, and enhance customer satisfaction.

•                     Use routing software and GPS systems to provide drivers with the most efficient routes and track delivery progress.

 

Customer Service:

•                     Serve as the primary point of contact for customers regarding delivery inquiries, scheduling, and issues.

•                     Address and resolve any delivery-related concerns or complaints in a professional and timely manner.

•                     Communicate with customers to provide updates on delivery status and expected arrival times.

 

Driver Management:

•                     Supervise and support delivery drivers, ensuring they follow company policies and safety regulations.

•                     Provide drivers with necessary information and instructions for each delivery.

•                     Monitor driver performance and provide feedback to improve service quality and efficiency.

 

Administrative Duties:

•                     Maintain accurate records of delivery schedules, routes, and customer interactions.

•                     Prepare and process delivery paperwork, including delivery tickets and invoices.

•                     Generate reports on delivery performance, including metrics on timeliness, customer satisfaction, and operational efficiency.

 

Problem Solving:

•                     Identify and resolve any issues that arise during the delivery process, including delays, equipment problems, or customer complaints.

•                     Implement solutions to prevent recurring issues and improve overall delivery operations.

 

Compliance and Safety:

•                     Ensure that all deliveries are conducted in compliance with company policies, industry regulations, and safety standards.

•                     Conduct regular checks to ensure that delivery vehicles are well-maintained and equipped for safe operation.

 

Qualifications:

Experience:

•                     2+ years of experience in a dispatch or logistics role, preferably within the heating or construction industry.

•                     Experience with routing software and GPS systems is a plus.

Skills:

•                     Strong organizational and multitasking abilities.

•                     Excellent communication and interpersonal skills.

•                     Ability to handle high-pressure situations and make quick decisions.

 

Other Requirements:

•                     Familiarity with safety regulations and best practices for transportation and delivery.

•                     Flexibility to work varying hours, including evenings or weekends, as needed.

 

Working Conditions:

•                     Primarily works in an office environment.

•                     Regular use of computer and phone systems for dispatching and communication.
