We are seeking a personable and organized Front Desk Manager to join our esteemed plastic surgery practice, in our Meritt Island location. The ideal candidate will be both an experienced manager and the first point of contact for patients, providing exceptional customer service and administrative support. At the front desk, you will play a crucial role in creating a positive and welcoming environment for our patients and ensuring smooth front office operations. Reports to Practice Director.

Preference shown to professionals with experience in plastic or dermatology front office, strong computer skills, and EMR knowledge. The ideal candidate will be professional, caring, efficient, organized, and able to multitask.


Front Desk Team Management

  • Serve as the go-to person for patient issues or questions, help troubleshoot solutions
  • Manage SOPs for the Front Desk Team, keep team current on new systems/processes
  • Create weekly schedule, manage time off and attendance of team
  • Assign duties as needed to team
  • Insurance Posting

Patient Interaction

  • Greet patients warmly and ensure a positive and welcoming experience from the moment they enter the practice
  • Assist patients with check-in and check-out procedures, ensuring accurate and up-to-date information
  • Answer phone calls, address inquiries, and schedule appointments with a high level of professionalism

Appointment Scheduling

  • Manage the appointment schedule, ensuring optimal utilization of provider time
  • Coordinate and confirm patient appointments, providing necessary information and instructions

Patient Registration and Records

  • Collect and verify patient information ensuring accuracy and completeness
  • Maintain and update patient records in the electronic medical records system
  • Assist with obtaining necessary authorizations and referrals for procedures
  • Assist with billing/insurance questions

Administrative and Office Support

  • Handle general administrative tasks, including filing, scanning, and organizing documents
  • Manage incoming and outgoing correspondence, including emails and faxes
  • Post superbills and run daily reports for financial reconciliation
  • Ensure the reception area is clean, organized, and presentable
  • Coordinate with maintenance staff for repairs or improvements as needed
  • Provide administrative support wherever necessary

Patient Education

  • Provide basic information to patients regarding procedures, pre-operative and post-operative care, and practice policies
  • Distribute educational materials and resources as needed

Coordination with Clinical Staff

  • Collaborate with the clinical team to ensure a seamless flow of patient care from the front office to the examination rooms
  • Communicate effectively with nursing and medical staff regarding patient arrivals and special requirements

Patient Satisfaction

  • Gather feedback from patients and address any concerns or issues promptly
  • Strive to enhance patient satisfaction by creating a positive and efficient front office experience

Qualifications:

  • Required:
    1. Education: College degree or equivalent experience
    2. 5+ years’ experience in a medical office
    3. 2+ years of management experience
    4. Excellent customer service and communication skills
    5. Familiarity with electronic medical records systems, preferably Nextech
    6. Proficient in basic computer skills and office software
    7. 2+ years Insurance Posting Experience
    8. Proven time management and organizational skills
    9. Demonstrated initiative (self-starter)
  • Preferred:
    1. Experience in scheduling patients
    2. Experience with insurance verification
    3. Experience working in Plastics, Cosmetic, or Dermatology office
    4. Proficient in Microsoft Office (word and excel) and Nextech
