Human Resource Coordinator

The ideal candidate for this position must be extremely reliable, organized, pro-active and must be able to work well in a team environment. Essential attributes include strong communication and interpersonal skills. Takes accountability for their actions and remains focused on both daily and project work.
Responsibilities:
- Prioritize and manage multiple duties and projects simultaneously, and follow through on tasks and issues in a timely and accurate manner.
- Oversee assigned, non-exempt requisitions that may include, in take meeting, posting positions, screening interviews, engaging with staffing agencies, scheduling interviews for manager(s), greeting candidates, gathering scores on skills testing, dispositioning candidates utilizing Navien’s Applicant Tracking System. For remote candidates, this may also include coordinating video conference calls and/or managing travel schedules. Updates the weekly recruitment report. May include arranging local Job Fairs.
- Point of contact for employee travel questions and creating new hire account in travel/expense platform.
- Collaborate with hiring manager(s) throughout the talent acquisition process, providing timely communication at all steps of the process with both the manager and candidates.
- Oversee the New Hire Orientation, from coordinating the orientation schedule, communicating with IT and Manager for laptop set-up and necessary equipment, preparing the new hire packages, collection of new hire paperwork, hand scanner instruction, Paycor badge, employee picture, and completion of the New Hire Checklists for personnel files. Back-up HR Generalist on I9 process as needed.
- Disseminate State and position appropriate required e-learning course at the completion of new hire onboarding. Provides Manager with weekly completion and in-progress report.
- May assist with distributing e-posters to new hires and as needed to remote employees.
- Track and maintain the temp report with contingent workers hours in accordance with Staffing Agency contracts. Process invoices in conjunction with Accounting. Distributes and collects Introductory Performance Reviews in preparation for temp conversions.
- Format incoming Job Description using consistent font size, style and spacing on the Template with Physical Requirements. Maintains Companywide Job Descriptions on shared drive.
- Support and collaborate with the HR Generalists and Manager as assigned, on various projects or tasks, such as recruiting, benefits, merit/bonus planning or other departmental projects.
- Arrange travel schedule and reservations for executives and management as needed as well as maintaining their schedules
- Utilizing Docusign initiate, track, print, file and upload the Sales Incentive Proposals.
- Open, sort and distribute or scan incoming HR mail.
- Monitor office and kitchen supply inventories and place orders, in a timely fashion. Uphold a tidy, well-stocked supply room.
- Update and maintain all personnel files in an accurate and timely fashion, including new hire and termination files.
- Quarterly Audit HR personnel files/binders, and other projects as assigned.
- Coordinate meetings and events, such as administrative luncheons, community events and Holiday Party, Habitat Builds, Anniversary
- Retain an updated list of vendors/contacts for other team members to reference in your absence
- Maintain confidentiality and be a guardian of employee data
- Be the driver on regularly updating the HR Calendar
Requirements:
- Minimum 5 years office experience, 2 years working in HR department
- Job-related experience, with increasing levels of responsibility
- Excellent verbal and written communication skills
- Able to work with minimal supervision, proactive
- Outlook, Word, Excel, and PPT intermediate-level experience
- Strong time management and organizational skills
