Responsibilities

  1. Accounting System Management:

    • Assure that the company is using an appropriate accounting system given its current and future performance expectations.
    • Be fully knowledgeable on the workings of the accounting system and ensure that personnel are fully trained, including training other departments as it relates to the accounting system.
    • Implement appropriate policies and control procedures for the accounting system. Support other departments in connection to the accounting system (i.e., order entry, receiving, manufacturing) by ensuring they follow the agreed-upon policies and procedures.
  2. Financial Reporting:

    • Prepare monthly financial statements on a timely basis and ensure the integrity of the numbers in those statements, including costs, sales, and accruals.
    • Fully explain the financial statements and maintain frequent communication with other departments, particularly manufacturing and sales, to stay up-to-date on the company's performance.
    • Provide reports in formats appropriate to each department, coordinating with department heads to determine the appropriate reports.
    • Prepare quarterly and annual financial statements and work with outside auditors on the annual audit.
  3. Tax Compliance:

    • Prepare annual tax returns and work with outside accounting firms as appropriate.
    • Prepare any interim tax filings, both state and federal.
  4. Working Capital Management:

    • Manage all aspects of working capital, including timely collection of receivables and establishing appropriate credit limits for customers.
    • Be active in inventory management, representing the financial aspects of inventory decisions.
    • Set and implement periodic physical inventories in conjunction with materials management, ensuring rigorous procedures are followed to maintain proper controls.
    • Manage payables and act as the liaison between outside financing and the company.
  5. Budgeting and Financial Planning:

    • Assist the CEO in preparing the annual budget of the company and periodically update the budget as conditions change.
    • Work with other departments to ensure their involvement in the budget process.
  6. Developing Accounting Reports:

    • Develop accounting reports to better run the business, including customer profitability, product sales and profitability, sales trends by customer and product, cost trends, interdepartmental performance to budget, and analysis of unusual items on both the expense and sales side.
  7. International Trade Financing:

    • Arrange any international trade financing requirements, such as letters of credit and bonds.
    • Negotiate and obtain payment of any letters of credit posted in favor of the company.
  8. Insurance and Administrative Responsibilities:

    • Assure appropriate insurance coverage is implemented.
    • Handle other administrative items such as sales and franchise taxes, ad-valorem taxes, payroll items, corporate and stock records, MIS/IT, building maintenance, and other duties commensurate with the title of Controller.
  9. Control and Reporting:

    • Develop controls and reports that allow the CEO to effectively manage the company by reviewing those reports.
  10. Human Resources Management:

    • Be responsible for all aspects of Human Resources, including tracking vacation, maintaining employee manuals, and managing employee benefits.
  11. Board and Executive Meetings:

    • Assist the CEO in preparing for board and executive meetings by providing regular reports.
  12. Controller Spending Limits:

    • Monitor and control spending within the allocated budget.
    • Ensure all purchases are authorized and within spending limits.
    • Report any discrepancies or overages to the appropriate personnel.
