Position Title: Bookkeeper

Reporting Division: Administration

Reporting Department: Finance

Reporting Supervisor: Staff Accountant

Location: Main Building

Status: Non-Exempt, Part-Time

Organizational Function: Front Line

PURPOSE:

Perform routine accounting duties, following appropriate procedures to ensure timely and accurate preparation. Maintain documentation for compliance to policies and procedures for internal controls. Prepare and post recurring, standard, monthly journal entries. Complete month end closing procedures, including verifying input and distributing financial information. Maintain documentation for compliance to policies and procedures for internal audits. Provide back-up support to the Staff Accountant.

QUALIFICATIONS:

  • Have a minimum of an associate’s degree or three to five years related experience in accounting, bookkeeping, or accounts receivable/payable; nonprofit accounting experience preferred.
  • Proficient with technology including Microsoft Office and other related software. Able to learn new software as necessary; Financial Edge by Blackbaud, preferred.
  • Work independently with high attention to detail and accuracy, organization, and a strong math aptitude.
  • Communicate effectively with others.
  • Possess a valid driver’s license.

KEY RESPONSIBILITIES:

  • Carry out job function through completing the following essential duties directly.

JOB DUTIES:

  • Prepare documents for payment including, matching packing slips, invoices, purchase orders, appropriate account numbers, and authorizations.
  • Process all accounts payable checks including, but not limited to, preparing for signature with detail attached and dispersing as requested.
  • Reconcile corporate credit card accounts monthly; reconcile disputes promptly.
  • Resolve discrepancies in statements, invoices, and payments with vendors.
  • Prepare and send invoices as needed.
  • Maintain compliance and internal controls, including GAAP and SOX; improve and streamline finance processes.
  • Disperse and reconcile petty cash accounts and change funds.
  • Prepare daily cash receipts.
  • Provide general ledger reports as requested.
  • Perform all other duties required.

WORK ENVIRONMENT

Primarily a sedentary office environment with desk, computer, phone, and files. Must be able to reach overhead and handle items approximately 20 lbs. Must be able to move about the entire Minnetrista 40-acre campus. Work schedule flexibility is critical.

Typical shifts scheduled sometime Monday through Friday between 9 a.m. and 4 p.m.; some evening or weekend work may be required on a rare basis. Schedule flexibility is possible based on availability.
