Customer Service – Shipping
In this role, you will review orders ready for shipment, input them into our shipment system, and process the orders to ensure the shipment is fulfilled properly and delivered on time. You will collaborate with carriers to coordinate pick-up and delivery and monitor delivery dates. You will also communicate daily with our sales team to update them on the status of client orders.
Responsibilities
- Review daily shipment log
- Input sales orders into company system
- Create packing slips and necessary paperwork in our accounting system for customer invoicing
- Create shipping paperwork for outbound shipments
- Handle any issues or discrepancies with shipments and invoices
- Respond to customer invoice disputes within 24 hours to resolve the issue
- Manage incoming phone calls
- Provide tracking information and POD’s to the customer as required
- Communicate delivery updates to the customer and customer service team as needed
- Communicate delivery challenges with the customer service team as they occur
- Invoice the customer the day after the shipment is picked up, ensuring invoice terms, part numbers, and pricing are all correct
- File customer paperwork as completed
- File and pursue freight claims as they occur
- Log shipped dollars on boards in conference room and warehouse from previous day, ensuring the team is up to date on product shipments.
- Maintain freight carrier relationships, and ensure pick up times are met for shipments
- Communicate any shortcomings of the freight carriers to the customer service supervisor
- Keep records of customer interactions, process customer accounts and file documents
- Identify and assess customers’ needs to achieve satisfaction
- Go the extra mile to engage customers
Requirements
- 2+ years of shipping or logistics experience (preferred)
- Proficient with Microsoft Office, especially Word and Excel
- Data entry experience
- Excellent communication and organizational skills
- Ability to multi-task, prioritize, and manage time effectively
- Problem solver
- Proven customer support experience or experience as a Client Service Representative
- Strong phone contact handling skills and active listening
- Ability to multi-task, prioritize, and manage time effectively
- Experience with QuickBooks and ERP systems preferred
Qualifications:
- Full-Time Required
- High School Diploma
- Previous experience in customer service, or other related fields
- Ability to build rapport with clients
- Ability to prioritize and multitask
- Positive and professional demeanor
- Good work ethic
- Excellent written and verbal communication skills
