Key Responsibilities

 

  • Plan, schedule and take notes for regular operational meetings and other all-staff meetings as required;

  • Maintain facilities efficiency by planning and implementing systems, layouts, storage management, and equipment/services procurement to ensure they support staff productivity; 

  • Greet and host incoming visitors, parents, sailors, BOD and donors when in the office. Display PYSF values in all interactions;

  • Manage relationships with relevant office vendors and service providers;

  • Answer incoming phone calls and emails, route, and provide follow up communication as necessary;

  • File important documentation in office and virtually in shared drives and coordinate with the appropriate staff for signatures and approvals;

  • Coordinate monthly credit card expense reconciliations and facilitate the collection of receipts and supporting documents;

  • Perform record-keeping for accounts payable and receivable

  • Assist with registering participants in classes and regatta events

  • Coordinate and validate employee and contractor expense reimbursements and assist with travel related bookings and travel expense reporting

  • Maintain and safeguard confidential personnel records

  • Perform Payroll bi-monthly

 

Relevant Experience and Skills

 

  • Fluency in English;

  • Bachelor’s degree in finance or a minimum of 5 years of experience in Office Management and/or accounting; QuickBooks experience a plus.

  • Highly organized, with a strong attention to detail;

  • Experience using cloud-based collaborative software including Google Drive, e-mail, etc.;

  • Good verbal and written communication skills;

  • Experience with the Google Workspace preferred;

  • Ability to operate in and enjoy a collaborative, team-oriented culture;

  • Strong natural alignment with PYSF values

  • Non-profit experience desired
