Role Summary:  We are seeking a detail-oriented and organized Accountant to join our team. This individual will be responsible for performing a wide range of accounting, bookkeeping, and clerical functions to support the production of accurate and timely financial statements.

This includes handling accounts payable functions such as reviewing and processing invoices, reconciling amounts owed, and maintaining vendor files. ​ The role also involves accounts receivable functions like preparing and distributing invoices, monitoring customer accounts, and posting cash receipts.

This position serves as a vital link between key internal teams, including finance, HR, and sales/customer service. Unlike typical back-office roles, this role requires face-to-face interactions with vendors, team members, and customers. The ideal candidate will possess strong emotional intelligence and a customer service mindset.

Accounts Payable Function

  • Receives, reviews, and processes invoices, verifying compliance with policies and are approved for payment
  • Reconciles amounts owed by comparing invoices to POs (Purchase Orders) or other records and ensures payments are charged to the appropriate accounts
  • Approve and setup new suppliers in accordance with ISO and company standards
  • Responds to inquiries from suppliers and researches and resolves concerns or discrepancies
  • Audit and process monthly re-occurring billings
  • Work with Customer Service, Warehouse and all departments to ensure inventory is accurate
  • Maintain vendor files
  • Prepare accounts payable for weekly check run including matching vendor invoices with checks and prepare checks for signature and mailing
  • Ensure supplier price increases are added in Sales Force
  • Enter all credit card receipts timely and reconcile credit card statements

Accounts Receivable Function

  • Prepares and distributes invoices, verifying compliance with internal policies and accuracy
  • Monitor customer accounts for non-payment and delayed payment. Trouble shoot AR (Accounts Receivable) issues and make collection inquiries/calls and send past due statements
  • Post cash receipts and charge customer credit cards
  • Prepare and audit bank deposits
  • Responsible for monthly re-occurring billings

Payroll & Timekeeping

  • Input payroll data into payroll software and maintains records to support all payroll transactions including salary, deductions and team member’s profile
  • Prepares payroll and payroll tax, reporting and payments ensuring accuracy.
  • Audit timeclock for accuracy. Assist with corrections as needed.
  • Answers team member questions related to payroll, timekeeping and resolves issues promptly and positively
  • Ensure that payroll practices meet government compliance
  • Audit benefits and benefit bills ensuring accuracy and balance to payroll
  • Gather and input payroll data for vendors including 401K, workers compensation and benefit carriers

General Support Functions

  • Order and configure equipment for new hires (laptop, mobile phone, etc.)
  • Research accounting data to resolve accounting discrepancies
  • Demonstrate and apply our internal and external company values (aka "Anchors") by working positively and collaboratively with team members and customers to form good partnerships and great teams while innovating, eliminating the non-essential and improving.
