Overview of Position

The Payroll Specialist is responsible for managing the organization's payroll process, ensuring accuracy, compliance, and timely distribution of employee pay. This role involves handling sensitive information, calculating wages, and ensuring all payroll-related processes are in line with federal, state, and local regulations. The Payroll Specialist will work closely with HR, Finance, and other departments to resolve payroll issues, manage employee data, and provide excellent customer service. The payroll specialist is also the plan administrator for the 401K plan. This role requires a high level of discretion and confidentiality due to the nature of the work at hand. 

Description of Duties

Accounting: 
•    Print daily checking account activity posting in accounting software
•    Complete daily cash spreadsheet
•    Support bank reconciliation process for daily transaction
•    Prepare ACH or wire transactions on the bank website
•    Various administrative functions to support department and ministry


Payroll:
•    Process bi-weekly payroll, including wage calculations, overtime, bonuses, and deductions ensuring efficiency and accuracy. 
•    Work with HR to verify employee timekeeping records and resolve discrepancies.
•    Manage garnishments, tax withholdings, and other deductions in compliance with legal requirements.
•    Prepare EFT forms for payroll costs reporting and posting
•    Maintain and update employee payroll records, including new hires, terminations, and changes to payroll information.
•    Filing payroll paperwork in employee folders (hard copy and digital)
•    Preparing miscellaneous yearly items for employee scholarships and staff benefits
•    Prepare various compensation reports from the payroll system

401k:
•    Reconcile the 401K report after payroll and make the contributions on behalf of employees.
•    Communicating with employees who have questions 
•    Notifying employees of quarterly 401k salary deferral options/changes
•    Preparing termination packet for 401k benefits and managing collection and distribution of forms to third parties
•    Scheduling 401k enrollment meetings with financial advisor and managing attendees/new enrollees
•    Scanning and uploading enrollment and beneficiary forms and save scanned copies in the 401k folder
•    Reviewing quarterly reports for payments/deposits and send to designated members of the investment committee

Qualifications:
•    Flexibility: Ability to coordinate schedules and adjust plans professionally, positively, and promptly.
•    Technical Proficiency: Comfortable with technology and capable of quickly learning and utilizing new tools.
•    Composure: Maintain a calm demeanor in challenging situations.
•    Organizational Skills: Strong ability to organize and prioritize tasks and information efficiently.
•    Professionalism: Uphold professionalism while embracing the friendly “Kamp” culture.
•    Proactive Approach: Anticipate and prepare in advance for annual and expected events/tasks.
•    Maturity: Demonstrate maturity in decision-making and adherence to Kanakuk Ministries’ policies and procedures.

Professional Skills/Education:
•    Experience in payroll and compliance in a professional setting (Accounting/Finance degree a plus)
•    Non-profit accounting experience and understanding of Ministerial Housing allowance a plus
•    Experience in customer support and managing interactions outside of the accounting department
•    Ability to perform financial/payroll analysis
•    Ability to be an effective team player while managing tasks independently 
•    Office Presence: Must be able to work on-site, as an in-office presence is required.
