Our client on Long Island is seeking a Litigation Legal Assistant with 5+ years of law firm experience.

Hybrid Hours: Monday-Friday, 9am-5pm Minimum 3 days a week in office 2 days a week remotely

Responsibilities include:

• Provide secretarial support to multiple attorneys as requested, including answering phones, time entry, scanning documents, copying, faxing and other clerical duties as required.

• Assist attorneys with client communication, creating, formatting and revising legal documents, straight typing, proofread work for accuracy prior to returning to attorneys, and answering phones.

• Convert documents from Word to PDF or from PDF to Word.

• Electronic filing of court documents using the NYSCEF and CM/ECF platforms.

• Transcribe tapes into letters, reports, marketing presentations and supporting handouts.

• Create, revise and format complex legal documents, including motions and answers and various other pleadings.

• Work with the AAA website, uploading position statements and evidence; and downloading documents.

• Keeping cases organized by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; entering information into file database and case management software; confirming case status with attorney.

• Answering telephone calls; maintaining client contact; scheduling meetings.

• Maintaining attorney schedules.

• Managing and prioritize incoming email and correspondence.

• Enter attorney time using iTimekeep.

• Prepare status/appearance reports to clients.

• Proofread work for accuracy prior to routing or returning to attorneys/employees.

• Scanning and e-mailing documents.

• Schedule zoom meetings and conferences.

• Submit vendor invoices for payment.

• Submitting expense and reimbursement reports using Chrome River.

• Demonstrating an attitude of cooperation with legal staff, peers, and administrators.

• Maintain client/matter list.

• Prepare retention agreements and waivers of conflict using templates. Send to clients with signature and payment instructions.

• Prepare and submit Fee Participation Agreements.

• Create necessary folders in document management system for each client/matter.

• Create Work in Progress chart for each client/matter where all pertinent information is recorded as the case progresses.

• Save documents received from clients and organize them in folders in the document management system.

• Update checklists of documents received from clients.

• Advanced Microsoft Word skills typing 55+ words per minute.
