Logistics/Scheduling Coordinator

Fast growing family business, based in the northern Illinois suburbs, operating within the commodity brokerage industry is looking for an organized, fast thinking and focused Logistics/Scheduling Coordinator to join our team, full time.
This is an exciting and fast-paced environment that will challenge and reward ambitious candidates.
Summary:
Candidate will be fully responsible for logistics and scheduling for all orders/transactions (500+ per month). Candidate will have birds eye view of company operations and will communicate with outside carriers, customers, vendors and industry partners to ensure successful completions of loads/orders. Candidate will also be responsible for managing and organizing all paperwork related to each transaction into the company’s data management system. Candidate may also assist with other administrative responsibilities and coverage for team members.
The main function of the Scheduler is to balance the needs of customers, vendors, carriers and partners in the logistical planning and scheduling of orders on a monthly, weekly, and daily basis.
Responsibilities:
- Work closely with company principals on a daily basis to assist in creating, scheduling and executing pending and new orders.
- Create and maintain monthly shipment schedules.
- Prepare a variety of end of month reports related to said schedules.
- Serves as point of contact for dispatch/scheduling by answering telephone, texts, and emails involving transportation and scheduling, and correctly distributing these to appropriate parties as needed in a timely manner.
- Accurately request and assign load numbers/Releases with/from customers, vendors and carriers.
- Requesting, uploading and entering data/BOL/invoices/weight reports/other to the company’s data management system.
- Prepare and maintain accurate dispatch schedules, including updates when necessary.
- Continually monitor, prioritize and manage load schedule changes and respond in a timely and effective manner.
- Proactively identify problems and swiftly implement the appropriate solution.
- Ability to accurately and efficiently enter data and work with detailed transactional information.
- Manage frequent changes, delays, reshipments or unexpected events.
- Reaching out to customers, vendors, partners and carriers to see what their immediate needs are/will be.
- Source carriers and potentially negotiate rates.
- Maintaining up-to-date detailed account information including rates, backup files, changes to account, etc.
- Reviews previous day’s transactions to ensure the transaction is complete.
What you’ll bring:
- Minimum 1-3 years’ experience in a logistical/scheduling environment or Bachelor/Associates Degree in Business, Logistics, Supply Chain or related field preferred.
- Excellent interpersonal, negotiation, and relationship-building skills.
- Strong organizational skills.
- Proficient in using the Microsoft Office software platform and QuickBooks.
- Word, Excel and Outlook/email
- Self-driven and motivated, goal-oriented, and able to work independently and effectively.
- Desire to provide original thinking and creativity.
- Ability to meet challenges with resourcefulness.
- Ability to multi-task, prioritize, be efficient with time.
- Ability to think on your feet and perform under stress.
