POSITION TITLE: Certified Medical Assistant (CMA)

FLSA CLASSIFICATION: FT

REPORTS TO: Nurse Team Lead

POSITIONS SUPERVISED: None


POSITION OVERVIEW: Aids nursing staff and Psychiatrists/Nurse Practitioners in taking vitals for medication management clients. Preparing clients for their appointments, taking medical history. The CMA could also assist with submitting medical forms for clients. Answering phone calls in a courteous, efficient manner for Medication providers and nursing staff.

  1. Ensures a high level of quality services provided to clients.
  2. Enters and validates required data in the Electronic Health Record (EHR) and other required data systems.
  3. Answers multi-line telephone system in a prompt, courteous manner and documents phone encounters into EHR.
  4. Schedule client appointments.
  5. Ensures requests are made in a friendly, cooperative manner, as determined by feedback from clients, family members, med providers and other employees and supervisors.
  6. Operates as a team with co-workers by approaching relationships in a manner which avoids antagonism and reduces conflict.
  7. Attends and participates in meetings and is responsible for all information communicated at meetings.
  8. Actively participates in and encourages actions that promote good public relations with clients, families, and the community.
  9. Ensures proper utilization of supplies and resources.
  10. Obtains clients’ vital signs and administers injections to clients and enters results into EHR.
  11. Submitting medical claim forms in a timely manner to assist clients and providers.
  12. Assisting with discharging medication management clients.
  13. Oversees the processing of medical records requests, insuring HIPPA standards are maintained, and requests are handled timely.
  14. Meets deadlines and ensures accuracy of various report/paperwork, mileage records, and electronic timesheets.
  15. Submits required progress notes/billing information in a timely manner as per agency and insurance guidelines and contracts.
  16. Maintains confidentiality of records relating to clients treatment.

OTHER POSITION REQUIREMENTS:

  1. Maintains acceptable overall attendance record, to include department staff meetings, agency meetings, and training as required. Ensures appropriate notification to supervisor for absences and ensures that work is covered. Flexible work schedule when needed.
  2. Exhibits appropriate level of technical knowledge for the position.
  3. Produces quantity of work necessary to meet job requirements.
  4. Works well with a team, keeps others informed of information needed. Treats others with respect, maintaining a spirit of cooperation.
  5. Maintains effective and professional verbal and written interactions with peers, customers, supervisors and other staff. Uses diplomacy and tact in dealing with difficult situations or people. Demonstrates effective listening skills. Is receptive to constructive feedback.
  6. Demonstrates the ability and willingness to handle new assignments, changes in procedures and business requirements. Identifies what needs to be done and takes appropriate action.
  7. Completes assigned work, meets deadlines without reminders/follow-up from supervisor or others.
  8. Performs work conscientiously with a high degree of accuracy.
  9. Demonstrates analytical ability to evaluate processes and to recommend improvements as necessary


POSITION REQUIREMENTS: The Certified Medical Assistant must have High School graduate or equivalent and at least one-year experience in data entry, customer service, or medical front office. Certified Medical Assistant must also hold a CMA license. Must be proficient in Microsoft Office including Word, Excel, and Outlook. Experience with electronic health records is a plus. Ideal candidate will possess excellent time management and organizational skills.


PHYSICAL REQUIREMENTS:

* Sitting for extended periods of time

* Typing/data entry, writing

* Lifting/carrying up to 30 pounds

* Driving for purpose of community mobility

* Bending/stooping
